Senior Administrator

The closing date is 03 July 2026.

Provide comprehensive administrative, operational, and systems support to the Acute Illness Clinic and Enhanced Access Service, ensuring efficient day‑to‑day service delivery, high‑quality patient care, and compliance with organisational processes and standards.

Responsibilities
  • Support operations across all Acute Illness Clinics in Woking, St. Peters, Ashford, and Walton on Thames.
  • Manage paperwork and patient registration in NICS EMIS, re‑book patients promptly, and coordinate clinic bookings.
  • Provide operational support: act as central contact for AIC administrators, cover clinics on short notice, and maintain capacity tracker.
  • Offer first‑line IT & systems support to clinicians and administrators; liaise with EMIS and SCW IT for system failures.
  • Stock & inventory management: conduct regular inventory checks, order supplies efficiently.
  • Governance, compliance & audit: complete weekly/monthly/quarterly audits, report incidents, ensure staff training compliance, and maintain cleaning checklists.
  • Workforce coordination: onboard new staff, off‑board departing staff, and coordinate rota and leave requests.
  • Clinical support: manage lab results, referrals, population reports, and rejected referrals; support FCP services with GP practices.
  • First Contact Physio, Nurse Treatment & Phlebotomy: create and update appointment templates, provide EMIS support, and monitor PCN contractual requirements.
  • Maintain IPC audits and liaise with GP practices for infection control.
  • Prepare and submit reports in line with NICS policies.
Qualifications & Experience
  • Good standard of education, including English and Maths.
  • Previous training in EMIS or other clinical systems, and evidence of relevant administrative or healthcare‑related training.
  • Demonstrated IT literacy, especially with Microsoft Office and clinical systems EMIS.
  • Experience in first‑line IT or systems support.
  • Strong organizational skills and the ability to prioritize workload.
  • Self‑motivated, able to work independently and within a multidisciplinary team.
  • Flexible and adaptable to meet changing service needs.
  • Understanding of patient administration systems, referral processes, laboratory result management, and compliance requirements.
  • Good team player with caring and compassionate approach, putting patients' interests first.
