Summary:
** This is a Part Time, Permanent position.
The postholder will provide a confidential and efficient secretarial, administrative and politically neutral advisory service to assist and support Elected Members. You will need to demonstrate excellent communication skills be adept at using emotional intelligence to anticipate issues before they arise, and good research and organisational skills to deal with the issues, using your knowledge of the political and management structure of the Council and the reporting and decision making procedures.
Experience of working in a busy office environment with a good understanding of IT based systems, including Microsoft Office are essential.
Whilst this post is based primarily in the Members Support Office you may be required to support other teams across the Governance Service.
This part time post is required to cover additional hours due to flexible retirement.
ROLE AND PURPOSE Grade 3: To assist across the service in providing confidential secretarial and administrative support to all teams within the service and Elected Members of the City Council.
Grade 4, all of the above plus:
To continue to develop and build on knowledge gained ensuring work is completed to a high standard using a measure of independence and initiative. Covering the Member Support Officer, Elections Assistant and Democratic Services Officer roles where required.
Provide administrative and clerk support, under general supervision, to a range of Panels/committees.
Grade 5, all of the above plus: Demonstrate ability to manage own workload with minimal guidance in order to commence tasks and complete work within deadlines / targets set. Anticipate the needs of the service and Elected Members and respond fully and efficiently to enable the service and Elected Members to be effective.
Provide administrative and clerk support, with minimal support and supervision, to a range of Panel/Committees.
Grade 6, all of the above plus: Demonstrate ability to manage own workload in a pro-active manner, within the direction and vision of the service.

** PRINCIPAL
ACCOUNTABILITIES :
**** Grade 3
** 1. Carries out the role, including the principle accountabilities outlined under direct supervision.
2. Provide a professional, confidential, efficient and comprehensive secretarial, administrative and politically neutral advisory service to assist and support Elected Members and all teams within the service.
3. Maintaining diaries, as requested, to assist with effective time management; arranging meetings, making travel, accommodation and hospitality arrangements as required.
4. Provide a courteous and responsive service to any enquires received from the public, officers and outside organisations, either in person or via telephone, referring them onto the appropriate Member or Officer, as necessary, to meet agreed standards.
5. Competently use and maintain efficient and secure storage and case management systems, including ICT solutions, for reports, correspondence, information requests etc.
6. Provide an efficient distribution service for documents and mail.
7. Maintain manual records and filing systems, including tracking the safe receipt and return of confidential legal/social care files; including document scanning and storage of digital copies.
8. Process requests for goods and services following procurement procedures, verify deliveries and resolve discrepancies as necessary.
