Clinical Service Specialist - Woodbury, MN

Join Vivo Infusion® as a Clinical Service Specialist in Woodbury, MN. We are seeking a motivated and detail-oriented individual with a strong healthcare administrative background to help our Infusion team provide outstanding patient care.

Overview

In this role you will manage front‑end operations, maintain a clean and organized workplace, process payments, coordinate patient appointments, verify insurance benefits, and secure authorizations. You will work independently and collaborate closely with clinical staff to ensure smooth operations.

Responsibilities
  • Answer phone calls, greet patients, and keep the reception area tidy.
  • Manage patient schedules, review cancellations, reschedule treatments, and communicate changes to Clinical Operations Manager and nursing staff.
  • Handle deliveries and invoices, verify accuracy, and submit for payment authorization.
  • Coordinate follow‑up infusion appointments with the Patient Care Navigator team.
  • Obtain and file medical records from referring providers, maintaining HIPAA compliance.
  • Use information systems to maintain statistical records and prepare reports for the Clinic Manager.
  • Assist with clinical inventory management.
  • Build positive relationships with staff, referring physicians, ancillary departments, and external agencies.
Qualifications
  • High School graduate or equivalent.
  • Minimum 2 years of administrative experience in a healthcare setting.
  • Medical Assistant certification or experience in a medical office (preferred).
  • At least 1 year of experience with insurance authorizations, benefits verification, and billing (preferred).
  • Working knowledge of medical terminology.
  • Active CPR/BLS certification prior to starting work.
  • Typing skills of 50+ wpm, computer literacy with MS Office, and proficiency with office equipment.
  • Potential travel to other local Vivo clinics as needed.
Compensation
  • Pay Range: $20.00 – $24.00 / hr.
  • Bonus Plan Target: 5% annually (performance based).

Environment And Physical Demands

The role requires regular sitting, talking, hearing, and use of hands for finger, handle, feel, reach, and occasional lifting up to 10 lb or 50 lb. Tasks are performed indoors in a quiet medical office setting. Vision and other physical demands are typical of the medical office environment.
