The purpose of the Client Services (Hospital) Coordinator position is to provide medical and clerical support to the medical and reception staff related to animal patient care and treatments. The role requires a practical knowledge of hospital organization, standard procedures, and protocols for client and patient care. The ideal candidate is reliable, flexible, self-motivated, and preferably has veterinary medical experience as a technician or assistant.

Reception experience is also beneficial, as this position bridges the gap between reception and medical staff.

This is a daytime position in a busy, high-volume, 24-hour animal hospital with 12 doctors and 80 support staff. The position is approximately 3.5 days per week (about 42 hours) and includes working 2 weekends a month. No major holidays are required, as the hospital operates as an ER only on those days. Responsibilities
  • Monitor and facilitate appointment flow, including emergencies, standby appointments, and medical calls.
  • Assist Drs with screening, returning calls, submitting referrals, and managing prescriptions.
  • Coordinate with medical staff for emergencies, scheduled appointments, and surgeries to ensure timely care.
  • Guide technicians and Drs on next steps to keep appointments on schedule.
  • Maintain the appointment and standby pet parent communication, including wait times and emergency updates.
  • Update and manage medical records, referrals, and test submissions.
  • Support staff with miscellaneous tasks as needed.
  • Respond promptly to the Nurse Advice Line and communicate effectively with pet parents and staff.
  • Maintain calm and professionalism when dealing with emotional pet parents or challenging situations.
