Under general direction of the Recreation Services Manager, supervises, plans, schedules, coordinates, and reviews all details of all City special events. Performs a variety of professional, supervisory work in planning, organizing, inspecting, and directing all activities related to the general and specialized nature of the special events of the Recreation, Parks, & Cultural Services Department; provides supervision, direction, and resources necessary to the event coordinator(s), contracted vendors, and general public;
providing a variety of information to other agencies, City staff, and the general public. Provides technical assistance to the Community Services Manager. Conduct reviews and initiate disciplinary action, as needed.
This is an exempt position.
- Plans, schedules, assigns, supervises, reviews, and participates in the production of successful events for the City of Alpharetta’s Recreation, Parks, and Cultural Services Department. Takes the initiative in planning and supervising the execution of all special events at multiple locations, exercising discretion and independent judgment. Oversee the work of the contracted event logistics companies and event coordinators, manages the event timelines, interprets site plan drawings, maps, specifications, and other elements as required.
- Assists the internal and external marketing teams in the creation and production of effective advertising, marketing, and publicity for festivals and events; provides art direction to graphic designers and/or contracted event management teams; writes copy for brochures, posters, newspaper ads, flyers, and online registration portals. Oversee the adherence to the marketing process and deadlines by event coordinators, and maintain consistent, appropriate branding and communication via digital marketing tools including websites, e-newsletters, and social media.
- Provides guidance to outside event applicants, event partners, subordinates, vendors, volunteers, local business owners, and residents to accomplish the Department’s mission and goals by adhering to established policies, procedures, and guidelines, and setting a positive example.
- Works with the Finance Department to oversee the RFP/bid process, including soliciting vendor quotations for procurement of goods and services; coordinating team to evaluate quotations using price comparison methods and price analysis; selecting the vendor.
- Assists Recreation Services Manager in preparing divisional budget for events and monitoring expenses. Estimates time, cost, labor, equipment, and material needs. Manages spending for all events per the designated budget and tracks incoming vendor and sponsor fees. Works with Recreation Services Manager and City partners to develop long-term and short-term goals, event structure and design, and planning and logistics for City events.
- Supervises, reviews, and evaluates vendors’ work performance; works with vendors to correct deficiencies. Reviews and approves invoices prior to submitting for payment. Works with the Recreation Services Manager to implement documentation procedures when appropriate.
- Reviews and evaluates event coordinators’ work performance. Sets work standards and establishes work schedule. Works with event coordinators to correct deficiencies. Maintains time records for event coordinators and approves leave (PTO) and overtime. Implement discipline procedures as directed.
- Participates in the interview process/selection of division staff and provides or coordinates staff training.
- Discusses job details with event coordinators to ensure conformity with division goals; monitors work activities to ensure compliance within established policies and procedures.
- Communicates and coordinates courteously and effectively with the public, other City employees, officials, vendors, corporate sponsors, volunteers, and other outside organizations.
- Ensures adherence to established safety procedures; monitors work environment and use of safety equipment to ensure safety of employees and general public; initiates any actions necessary to correct deviations or violations; maintains first aid practices and techniques.
