Overview

We are recruiting on behalf of one of our clients for a proactive, highly organised Workshop Coordination & Executive Assistant to support a busy consulting team on an ongoing contract basis.

This role involves coordinating leadership workshops and consulting engagements, alongside project coordination, diary management, and travel support for senior consultants. The workload is consistent and substantial, suited to someone seeking a long‑term contract with meaningful responsibility.

This role requires availability of approximately 35+ hours per week on an ongoing basis
, with occasional onsite support at workshops
.

The ideal candidate enjoys working in a fast‑paced, professional environment, brings structure to complex projects, and takes pride in delivering a smooth, high‑quality experience for both clients and consultants.

Key Responsibilities
  • Coordinate virtual and in‑person workshops end‑to‑end
  • Schedule interviews, preparation sessions, and workshops
  • Manage participant communications and pre‑work
  • Support project coordination across multiple engagements
  • Manage diaries and calendars across time zones
  • Arrange travel for workshops and meetings
  • Occasionally support workshops onsite as required
  • Prepare documents, reports, agendas, and workshop materials
  • Maintain accurate records and support invoicing processes
  • Ensure high standards of organisation and quality throughout
Skills & Experience
  • Experience in workshop coordination, project management, executive assistance, or similar
  • Strong organisational skills and attention to detail
  • Ability to manage multiple priorities independently
  • Confident written and verbal communicator
  • Comfortable working with senior stakeholders
  • Experience using project management tools (Airtable, Notion, or similar)
  • Able to operate as a self‑employed contractor
  • Comfortable travelling occasionally for onsite workshops
