This role offers a starting salary within Nacro’s pay structure of £25,776 pro rata with expected progression to £26,291 pro rata within the first year, subject to meeting clear criteria and performance standards, with further pay progression available in the future. About the role

We are looking for an organised, reliable and proactive Administrator to join our Justice & Health Directorate and provide essential administrative and casework support to the team. This role will be located at HMP Berwyn

You will play a key role in ensuring the smooth and effective running of the service by maintaining accurate records, managing data and information, supporting financial and purchasing processes, and ensuring that administrative systems and procedures are followed consistently.

This is a varied role that will require excellent attention to detail, strong organisational skills and the ability to manage confidential information appropriately. You will work collaboratively with colleagues across Nacro and, where required, with external partners in a multi-agency environment.

What you will be doing
  • Maintaining accurate paper and electronic filing systems and ensuring records are kept up to date.
  • Updating written and computerised records, identifying missing information and obtaining the necessary documentation.
  • Entering and retrieving data from Nacro's management information systems and ensuring information is accurate and timely.
  • Supporting the production of reports, figures and project information as required by the Team Manager.
  • Ensuring information is distributed accurately and promptly across the team.
  • Supporting the preparation of accurate and timely financial claims to funders, as required.
  • Supporting purchasing processes, including preparing and checking purchase orders and ensuring information is submitted promptly.
  • Ensuring cash and cheques are securely stored and banked within agreed timescales.
  • Providing administrative support through photocopying, scanning, collating and retrieving information.
  • Maintaining confidentiality when handling sensitive information relating to service users, volunteers and colleagues.
  • Providing a professional, friendly and efficient response to visitors and telephone callers, ensuring messages are passed to the appropriate colleagues promptly.
  • Maintaining records and logs relating to premises and equipment and escalating issues to the appropriate person within agreed timescales.
  • Supporting colleagues and service users in understanding and applying relevant administrative systems and procedures.
  • Working collaboratively with other Nacro teams and contributing to meetings and the ongoing development of effective administrative systems and processes.
  • Working effectively within a multi-agency environment, maintaining professional relationships and appropriate confidentiality at all times.
  • Supporting the team to meet performance targets and maintain accurate records within required timescales.
About you

We are looking for someone who is organised, methodical and able to manage a range of administrative tasks accurately and efficiently. You will have good attention to detail and be confident working with data, records and computerised systems.

You will have:

  • Experience of providing effective administrative support within a busy team or service environment.
  • Good knowledge and understanding of Microsoft Office applications and the ability to learn and use case management and data systems.
