Office Support Specialist II – State of Wyoming
General DescriptionProvides a wide range of administrative support functions to the Wyoming Office of Homeland Security. Supports the Executive Assistant in administrative support for the Director and Deputy Director. Evaluates, composes, edits, and prepares correspondence. Coordinates with other state agencies, different levels of government, first responders, and the general public to gather and disseminate information. Acts as agency receptionist, taking incoming calls, screening information, answering questions, and referring calls to the appropriate persons.
Maintains and performs procedural changes to Wyoming Emergency Management and Search and Rescue Council Rules. Meets the requirements to be part of the state of Wyoming EMAC A-Team.
- Answers, screens, and directs calls and walk‑in traffic, requiring knowledge of WOHS operating policies and procedures.
- Uses judgment to determine priority of calls: responds to callers, forwards calls, or records messages.
- Maintains confidentiality of all correspondence and other information obtained during work hours.
- Provides administrative support to WOHS staff, including mail merges, sorting and screening mail, mailing, and handling records.
- Composes and maintains all RERT letters for activations and enters activations in the database.
- Attends staff meetings and County/Tribal Coordinator meetings, records minutes, transcribes minutes, and disseminates them to staff.
- Designs, produces, and edits correspondence, reports, and spreadsheets.
- Assists Section Chiefs with administrative tasks such as mail merge, travel arrangements, and proofreading.
- Assists with archiving and grant administration, including tracking subrecipient grant requirements.
- Supports the Executive Assistant by maintaining contact information for sheriffs, county commissioners, and county coordinators in the Duty Officer Handbook.
- Maintains inventory of office supplies, requests purchases via memo or Purchasing Card, and reconciles Purchasing Card with procurement log.
- Completes required education, training, and certifications for Federal grant funding and eligibility for the state of Wyoming EMAC A-Team.
- Maintains current records, rules, and procedures for the Wyoming Search and Rescue Council and Fund.
- Performs procedural tasks regarding additions, changes, or repeal of rules.
- Associate’s Degree (typically in Business).
- 0–2 years progressive work experience in Business Office Communications, or 2–4 years with equivalent knowledge.
- Knowledge of applicable computer applications, records processing, document preparation, agency functions, compliance investigations, and project management.
- Understanding of Wyoming Emergency Management and Search and Rescue Council Rules.
- No specific certificates or licenses required.
