General Description
Wyoming Department of Corrections is hiring a full‑time Office Support Specialist for the Field Services team in the Gillette Probation and Parole Office.
The role supports routine clerical and administrative functions, and requires consistent, professional interaction with staff, offenders, victims, the public, the judiciary, law enforcement, local organizations and service providers.
The Field Services Division is responsible for community supervision and case management of probationers and parolees. The department offers a progressive work environment with variety and challenges that help rehabilitate offenders into law‑abiding citizens.
Essential Functions- Act as a specialist in an assigned program area, performing complex technical duties including legal secretary responsibilities.
- Lead or supervise moderate to complex program and operational support duties.
- Coordinate general office functions such as budgeting, legal work, administration, property management, travel arrangements, procurement, personnel, information systems, fiscal duties, and provide staff training.
- Conduct research, troubleshoot office systems or procedures for efficiency and accuracy; collect, organize, and document responses to queries.
- Serve as liaison between the agency and other agencies.
- Process monthly electronic filing, correspond with operators, and set up new operators for filing.
- Maintain records, verify statistical reports, and assist in publishing reports.
- Assist with deposits, monetary transactions, and audit functions.
- Accurately maintain files, input data into databases, prepare reports, and verify system and database accuracy.
- Respond to requests for information verbally or in writing.
- Screen and correct documents for procedural compliance and evaluate accuracy.
- Provide customer service and explain rules and procedures to staff, customers, and clients.
- Maintain inventory of assets.
- Perform administrative duties requiring judgment, including fiscal or specific program areas.
- Troubleshoot light computer issues.
- Ensure procurement processes follow established procedures.
- Process and interpret legal documents.
Education & Experience
- 2–4 years of progressive work experience (Business Office Communications) with knowledge at the level of an Office Assistant II.
- OR Associate’s Degree (typically in Business) with 0–1 year of progressive work experience.
Preferences
- At least two years of experience in an office environment.
- Prior criminal justice exposure.
Knowledge
- Applicable federal, state, and local laws, codes, regulations, policies, and related processes.
- Financial record‑keeping and reporting, basic accounts payable, purchasing.
- Employee supervision, training, and evaluation principles.
- Customer‑service techniques.
- Computer applications:
Google, Google Docs, Excel.
- Employee sits comfortably for most of the work but may walk, stand, bend, carry light items, drive an automobile.
