Youth Program Manager (Project Management)
SUMMARYThe Youth Programs Manager plays a critical support role in the successful operation of Grand Targhee Resort's youth programs, including the licensed Child Care Facility and Fred's Adventure Summer Camp. This position focuses on staffing logistics, administrative coordination, compliance support, and day-to-day business management, ensuring programs operate smoothly, safely, and efficiently.
The Senior Manager leads vision, programming, overall strategy and operations, the Manager will help keep the engine running by managing schedules, supporting with documentation, staffing processes, and operational details so the experience for kids, parents, and staff is seamless.
DUTIES AND RESPONSIBILITIES
Staffing & Workforce Management
Assist with recruitment, onboarding, training coordination, and offboarding of seasonal and year-round youth program staff.
Build and maintain staff schedules to meet licensing ratios, operational needs, and peak demand periods.
Track employee certifications, credentials, background checks, and required trainings; flag renewals and compliance deadlines.
Serve as a point of contact for staff administrative needs including timekeeping, scheduling changes, and policy questions.
Support performance management processes, including documentation, coaching follow-ups, and feedback tracking.
Administrative & Business Operations
Maintain accurate records related to staffing, enrollment, licensing, incident reports, and parent documentation.
Assist with inventory tracking, supply ordering, and vendor coordination for youth program operations.
Support budget tracking by monitoring labor hours, supply costs, and operational expenses; report trends and variances to the Senior Manager.
Coordinate billing, enrollment paperwork, waivers, and internal reporting.
Develop and refine standard operating procedures (SOPs) to improve efficiency and consistency across programs.
Compliance & Risk Management
Support compliance with Wyoming child care licensing requirements, health regulations, OSHA standards, and resort safety policies.
Assist with preparation for inspections, audits, and internal reviews by organizing documentation and operational records.
Ensure daily operational checklists are completed, filed, and followed consistently.
Support incident reporting processes and ensure timely communication and documentation.
Program & Operational Support
Act as on-site operational support during program hours, stepping in as needed to maintain ratios or cover staffing gaps.
Serve as a liaison between front-line staff and the Senior Manager to ensure smooth communication and follow-through.
Assist with parent communication related to scheduling, enrollment logistics, and administrative questions.
Help ensure facilities remain organized, well-stocked, and operationally ready each day.
SUPERVISORY RESPONSIBILITIES
This position will supervise the daycare and summer camp staff and provides functional leadership and administrative oversight, particularly related to scheduling, documentation, and daily operations. Will act as Manager-on-Duty in the Senior Manager's absence.
QUALIFICATIONS
Associate's or Bachelor's degree in business administration, human resources, education, recreation management, or a related field preferred.
2+ years experience in operations, staffing coordination, administration, or program support (child care, education, hospitality, or recreation strongly preferred).
Strong organizational skills with the ability to manage multiple priorities and deadlines.
High attention to detail and comfort working with systems, spreadsheets, and documentation.
Working knowledge of staffing best practices, scheduling, and compliance requirements.
Ability to remain calm, professional, and solutions-oriented in fast-paced or high-demand environments.
Excellent communication and customer service skills.
CERTIFICATES, LICENSES, REGISTRATIONS
CPR and First Aid certification preferred (or willingness to obtain).
Ability to pass background checks and meet state child care employment requirements.
Willingness to become the Assistant Director for the Daycare Licensing.
WORK SCHEDULE
Due to the nature of the recreation and child care industry, operations typically run seven days a week, including weekends and holidays. Schedule will vary seasonally, with increased hours during peak winter and summer periods. Flexibility is required. Operations are closed when the resort is closed from mid-April to mid-June and mid-September to mid-November.
PHYSICAL DEMANDS
This role includes periods of standing, walking, lifting up to 50 pounds, typing, filing, and working in both indoor facilities and outdoor mountain environments. Must be able to tolerate variable weather conditions.
