These duties are illustrative only. Incumbents may perform some or all of these duties or other job-related duties as assigned.
Responsibilities- Answer multi-line telephones; direct calls and take messages; greet and direct visitors; maintain logs; order, receive, unpack, and stock office supplies; make and distribute copies; open, sort, date stamp, and distribute mail; collect, prepare and deliver mail; receive documents; index and assign numbers to documents; maintain case files; prepare documents for storage.
- Maintain a variety of logs, calendars, schedules, lists, and packets; act as a resource to agency staff and assist in locating and completing requested forms.
- Provide routine support to casework staff, such as preparing communications, updating case files, and entering notes and documentation into SACWIS (Statewide Automated Child Welfare Information System).
- Maintain copiers, fax machines, and printers, including replacing cartridges, stocking with paper, clearing jams, and reporting or requesting maintenance to keep equipment in working order.
- Staff and oversee the locked File Rooms, retrieve and file permanent records in client files, track the whereabouts of client files, and manage the file collection and management system.
- Type a variety of correspondence, memos, purchase orders, court documents, and other documents; perform data entry; create and maintain spreadsheets and mailing lists; retrieve and re-file records; input data into SACWIS.
- Take court filings to Juvenile Court and assist with special projects as needed.
- Run errands such as picking up office supplies and making deliveries.
- Perform other duties as assigned.
- High School Diploma or General Equivalency Diploma (G.E.D.); one to three years of clerical, business/office practices or related field experience; valid Ohio Driver's License and proof of current vehicle insurance.
- Or any equivalent combination of education and/or related work experience sufficient to perform the essential duties of the job.
Physical and other requirements: Physical effort at the level normally found in office work; largely sedentary but may involve occasional lifting and/or carrying of small objects, walking, standing, bending, kneeling, driving, keyboarding, and repetitive motion. Exerting up to 50 lbs. of force occasionally and/or up to 20 lbs. frequently; exposure to outside conditions and potential for aggressive individuals. Travel/drive in extreme weather may be required.

Work under general supervision with considerable knowledge of clerical and secretarial procedures and administrative support processes to perform routine and non-routine tasks.
