Main / Key Responsibility(ies) / Duties
Provide comprehensive administrative and operational support to the Club Operations Department, encompassing finance administration, registry management, car park operations, front desk services, club facilities, swimming pool operations, utilities management, and vendor coordination. Ensure the timely preparation of reports, maintenance of accurate records and documentation, and adherence to established policies, procedures, and service standards to support the smooth and efficient operation of the Club.
Duties / Tasks
1. Car Park AdministrationReconcile weekly and monthly NETS/EPS transactions and investigate discrepancies.
Monitor car park system performance and contractor maintenance schedules.
Process complimentary parking tickets and refund requests.
Prepare monthly purchase and patronage reports.
Maintain vehicle IU registration records.
Prepare approval papers and supporting documents for management approval.
Process invoices, operational purchases, and staff claims.
Track expenditure and monitor departmental budgets.
Manage contract and licence renewal schedules.
Prepare monthly facilities utilisation reports.
Issue invoices to vendors and camp operators when required.
Maintain proper records and filing systems.
Reconcile swimming pool NETS transactions and resolve discrepancies.
Prepare monthly revenue, patronage, and purchase reports.
Maintain an accurate Fixed Asset Register.
Coordinate asset inspections and stocktakes.
Manage documentation for asset acquisitions, transfers, disposals, and write-offs.
Investigate and report asset discrepancies.
Collect and record customer feedback and compliments in the CRM system.
Escalate complaints and feedback for resolution.
Respond to general enquiries within established service standards.
Coordinate meetings with vendors, contractors, and internal stakeholders.
Prepare meeting materials and follow up on action items.
Undertake ad hoc assignments and additional duties as directed by Management or the reporting officer.
Requirements:
Minimum GCE N/O/A Levels or Diploma in relevant field
Meticulous attention to detail and follow-through; perform tasks with high degree of accuracy and efficiency with the ability to meet deadlines
Experience working in the club, leisure or hospitality industry will be an advantage
Outstanding communication and interpersonal abilities
Excellent knowledge of MS Office and Office Management Software
Able to work Public Holiday and Weekends, if needed
