About the Role

Our client is a US-based healthcare organization seeking an experienced Medical Billing Coordinator to join their Customer Service team. This role sits at the front line of patient access — handling inbound and outbound calls, verifying insurance benefits, scheduling appointments, and ensuring that every patient interaction is handled with accuracy, professionalism, and care.

This is not an entry-level position. The ideal candidate brings hands-on experience in US healthcare call center operations, a solid working knowledge of insurance verification and benefits, and the ability to navigate payer portals and EHR systems with confidence.

Key Responsibilities Insurance Verification and Benefits (VOB)
  • Verify patient insurance eligibility, network status, and active coverage prior to appointments
  • Confirm deductibles, copays, coinsurance, out-of-pocket maximums, and service-specific benefits
  • Identify referral requirements and prior authorization (PA) needs by payer and service type
  • Navigate payer portals and contact insurance carriers directly to verify benefits when portal information is insufficient
  • Accurately document all insurance verification details in the EMR/EHR
Patient Communication
  • Handle inbound patient calls with professionalism, warmth, and efficiency
  • Make outbound calls to patients for scheduling, benefit confirmations, document collection, and follow-up
  • Clearly communicate insurance benefit information to patients in plain, understandable language
  • Address patient questions and concerns with patience and accuracy
Scheduling and Administrative Support
  • Schedule, reschedule, and confirm patient appointments across providers and service lines
  • Process referrals and coordinate with internal teams and external providers as needed
  • Verify and update patient demographic information to maintain accurate records
  • Maintain complete and organized documentation across all patient interactions and transactions
What This Role Requires Required Experience
  • Demonstrated experience in a US healthcare call center environment — this is a firm requirement
  • Hands-on experience conducting insurance verification and benefits checks (VOB) for US payers
  • Working knowledge of deductibles, copays, coinsurance, out-of-pocket costs, and benefit structures across commercial and government payers
  • Experience identifying referral and prior authorization requirements by payer
  • Proficiency navigating payer portals and contacting insurance carriers
  • Experience documenting insurance verification and patient interactions in an EMR or EHR system
  • Medical scheduling experience, including referral coordination
Skills and Attributes
  • Detail oriented. Accurate verification and documentation are the foundation of this role — errors have real consequences for patients and the practice.
  • Organized and dependable. You manage a high volume of calls and tasks without losing accuracy or follow-through.
  • Clear and professional communicator. You speak with patients and insurance representatives confidently and with care.
  • Patient and composed. You handle difficult conversations, confused patients, and complex payer situations calmly and professionally.
  • HIPAA aware. You handle all patient information with discretion and in full compliance with HIPAA requirements.
Technical Requirements
  • EMR/EHR proficiency — required; specific system training provided
  • Payer portal navigation — required
  • Microsoft 365 or Google Workspace — proficient
  • Reliable high-speed internet, a quiet dedicated workspace, and a quality headset
Work Details
  • Schedule:

Full-time, Monday through Friday, aligned to US business hours
  • Location:

    Fully remote
  • Call volume:
Mix of inbound and outbound patient calls
  • Compliance: HIPAA-compliant environment required
