Fiscal Support Specialist – Treasurer’s Office
Reports To: Treasurer/CFO
Employment Status: Regular / Full-Time
Work Year: 260 Days (12-month position)
Job Summary:
The Fiscal Support Specialist performs a variety of accounting and clerical duties to assist the Treasurer's Office in maintaining accurate district financial records. This position supports purchasing, reconciliations, reporting, and ensures compliance with board policy and state regulations.
Essential Duties and Responsibilities:
- Maintain accurate records in accordance with the Uniform School Accounting System (USAS).
- Process purchase orders, invoices, and payments with proper account coding.
- Assist in balancing and reconciling all district funds, including grants and student activities.
- Prepare monthly bank reconciliations, financial reports, and board meeting minutes.
- Monitor district purchasing cards and support their administration.
- Post deposits, receipts, and journal entries into the district system.
- Track expenditures and verify alignment with budgetary limits.
- Assist with payroll duties as assigned by the Treasurer.
- Organize fiscal files for audit and grant compliance.
- Communicate effectively with staff, vendors, and auditors.
- Support five-year forecast, budget reports, and audits as needed.
- Maintain strict confidentiality of district financial information.
Knowledge, Skills, and Abilities:
- Strong understanding of accounting principles and fund accounting.
- Proficiency with USAS, USPS, Excel, and related ERP systems.
- Detail-oriented with excellent accuracy and reconciliation skills.
- Organized and able to manage multiple priorities and deadlines.
- Strong verbal and written communication skills.
- Familiarity with public-sector purchasing processes is a plus.
Qualifications:
- Associate or Bachelor's degree in accounting, finance, or business preferred.
- Minimum 2 years of experience in fiscal operations (school/government preferred).
- Proficient with Microsoft 365, Google Workspace, and financial software.
- Must pass BCI/FBI background checks.
Working Conditions:
- Office-based role with strict deadlines and frequent interruptions.
- Prolonged periods of computer use and sitting.
- Occasional lifting up to 20 lbs.
- Collaborative work environment with small fiscal team under Treasurer supervision.
