Summary

The Patient Services Representative performs scheduling and registration, verifies eligibility and obtains authorizations for ambulatory appointments, procedures, or surgery scheduling in support of the patients' care needs. She or he is responsible for completing the patient registration in a timely and accurate manner to minimize interruption to patients' care, securing all demographic and financial information, including Medicare/Medicaid, Third Party Liability, and Workers Compensation, and handling cash deposits such as co‑pays, deductibles, and self‑pay.

The role includes insurance verification, pre‑certification documentation, transcription of orders, and direct communication with patients regarding insurance, authorizations, and scheduling details. Additionally, the representative performs a variety of administrative duties, including answering phones, faxing, filing confidential documents, and using basic internet and email functions.

Responsibilities
  • Schedule and reschedule all routine and non‑routine medical services for assigned patient population.
  • Coordinate scheduling and referrals to other healthcare providers and services.
  • Confirm daily data entry of medical appointments, special instructions, patient information/jurisdiction, and pre/post‑operative or procedure instructions.
  • Perform a variety of administrative duties, including answering phones, faxing and filing confidential documents, and basic internet and email utilization.
  • Provide excellent customer service to all internal and external customers.
  • Work closely with the back‑office/medical assistant team and physicians to maximize patient care experience.
  • Verify insurance eligibility and obtain necessary authorizations for ambulatory appointments, procedures, or surgeries.
  • Identify pre‑certification requirements for ambulatory appointments and document pre‑certifications/authorizations prior to appointment.
  • Secure all demographic and financial information, verify and/or notify insurance companies, complete cash deposits, and answer registration questions on demand.
  • Obtain and verify required pre‑certification/authorizations for any scheduled outpatient procedure or surgery.
  • Schedule procedures or surgeries as dictated by the patient’s plan of care.
  • Communicate closely with patients throughout the care delivery process regarding insurance, co‑pays, deductibles, authorizations, procedure or surgery date, appointments, etc.
  • Transcribe orders.
Education & Qualifications
  • High School diploma or equivalent (HS DIPLOMA/GED).
  • 1 year related experience preferred.
  • Minimum requirement:
    High School/Equivalency Diploma.
