Overview
Support the logistical execution of a key learning initiative within the Chief Operating Officer (COO) unit at Julius Baer. This fixed‑term role is ideal for a working student or early‑career professional seeking experience within a leading global wealth manager. Reporting directly to the Programme Manager, you will ensure smooth delivery of training sessions across the organisation and in international locations.
Responsibilities- Coordinate training room bookings and ensure appropriate setup across locations.
- Align facilitator schedules with the overall training plan in coordination with the Programme Manager.
- Manage end‑to‑end calendar invitations for participants and facilitators, including reminders and updates.
- Set up and test IT and audio‑visual equipment for in‑person and hybrid sessions (e.g. Webex, projectors, microphones).
- Actively support virtual and in‑person sessions by managing participant flow, including assigning and recalling breakout groups.
- Prepare and distribute training materials, including case studies for breakout sessions.
- Track attendance, manage sign‑in sheets, and follow up on missing confirmations.
- Handle post‑session tasks, including collecting feedback forms and returning equipment.
- Maintain accurate logs, checklists, and filing for ongoing administrative efficiency.
- Current enrolment in or recent completion of a bachelor’s degree in business, social sciences, education, or a related field.
- Experience in administrative support, event coordination, or a PMO‑like role.
- Strong organisational instincts, reliability, and a proactive attitude to support a time‑sensitive initiative.
- Genuine service orientation – ability to anticipate needs and provide timely, thoughtful support to facilitators and participants.
- Familiarity with operating in a structured, large corporate environment (advantageous).
- Proficiency in Microsoft Office (Outlook, Word, Excel) and practical experience with virtual meeting platforms.
- Excellent attention to detail and the ability to manage multiple tasks efficiently under clear timelines.
- Courteous, cooperative, and service‑oriented approach to teamwork and stakeholder interactions.
- Good command of English (written and spoken); basic German is an advantage.
