Job PurposeThe Operations Assistant & Customer Care is one of the key roles at City Pop.
Our Customer Care team ensures a smooth and pleasant tenant experience, aiming for high satisfaction, repeat bookings across City Pop locations, and positive online reviews.
This role combines customer communication, operational coordination and facility management support
, ensuring apartments and buildings are well maintained and tenants receive fast and friendly assistance.
As part of our “Angels” team, you will also actively contribute to process and service improvements through internal projects.
Main Responsibilities- Handling tenant communication via ticketing system, email, phone and external portals.
- Supporting the operations team and taking over partial or full responsibility for assigned buildings when needed.
- Updating and completing bookings in the reservation system.
- Coordinating on-site teams (cleaning & technicians) and organizing cleanings, check-ins and check-outs.
- Organizing apartment viewings and building visits when required.
- Managing tenant administration (e.g. immigration office registrations).
- Handling invoicing, credit notes, deposit refunds and damage charges.
- Managing tenant complaints and handling City Pop emergencies.
- Optimizing building occupancy by adjusting bookings, managing extensions and filling gaps.
- Managing online portals for advertising and supporting tenant acquisition / business opportunities.
- Supporting the opening of new buildings and assisting with internal/external company events.
- Supporting management with daily operational tasks when assigned.
- Ensuring high quality standards through regular site inspections of apartments and common areas.
- Reporting issues to technicians, controlling execution and following up until resolution.
- Supporting inventory replacement, small repairs and soft renovation tasks.
- Ordering and re-ordering operational equipment and supplies.
- Supporting reporting, statistics, invoice control and payment follow-up.
- Contributing to continuous process and product improvements by proposing and implementing ideas.
- Outstanding written and verbal communication skills.
- Hospitality / Customer Care experience is a plus.
- Good level of English and German (additional languages are a plus).
- Open-minded, proactive and solution-oriented attitude.
