Sample Coordinator
As individual and special as coffee is, it is also a globally traded commodity. Unlike other large trading houses, we at Bernhard Rothfos only trade coffee - from low grade to high end and as green or instant coffee. This means that hardly anyone knows coffee as well as we do. We combine decades of experience and advanced know-how about the product as well as the international coffee market.

To strengthen our Quality & Food Safety Team, we are looking for a motivated Sample Coordinator – whether at entry level or with experience – to support and further develop our central sample management process.
Your Role:
As a Sample Coordinator, you act as a key interface between Trading, Logistics, Quality, and Sales. Depending on your experience level, you will either grow into or take full ownership of coordinating and managing coffee samples throughout the entire trading process and supply chain.
Your Responsibilities:
- Coordinate all types of samples (approval, pre-shipment, arrival, replacement, offer, and spot samples)
- Track and monitor sample shipments, including proactive follow-up with couriers
- Communicate with exporters, logistics providers, and internal stakeholders
- Oversee and coordinate the receipt, inspection, and registration of incoming samples in Hamburg together with the team
- Maintain and update ERP and sample tracking systems
- Coordinate and supervise internal quality evaluation and cupping processes
- Oversee and ensure the efficient planning and execution of global customer sample dispatch
- Ensure adherence to timelines and escalate delays when necessary
- Contribute to and drive continuous improvement of sample workflows and processes
Your Profile:
- Strong interest in coffee, supply chains, and international trade
- Understanding of green coffee qualities and origins; hands-on mindset and curiosity for the product
- Initial experience (e.g. internship, working student) or solid professional experience in coffee trading, logistics, or supply chain depending on seniority
- Good understanding of logistics processes and international trade flows
- Highly organized, structured, and detail-oriented working style
- Strong problem-solving mindset and ability to handle challenges
- Proactive attitude with a clear sense of ownership and responsibility
- Excellent communication skills and team spirit
- Mature and reliable personality, able to work in a demanding, fast-paced environment
- Ability to stay calm under pressure and manage a high workload
- Proficient in MS Office; ERP experience is a plus
