Job Summary
The Accounting Administrator is responsible for managing daily financial transactions, including Accounts Payable, Payroll, and General Ledger functions. This position demands confidentiality, proficiency in accounting practices, experience with Microsoft software, and strong organizational skills. The role is office-based and may require additional hours during peak periods.
Key Responsibilities Accounts Payable- Maintain vendor accounts, process incoming invoices, and manage statements.
- Obtain approvals for invoices and ensure timely vendor payments.
- Reconcile loan payments, company credit cards, and permits.
- Complete new vendor credit applications.
- Prepare monthly use tax reports for the Department of Revenue.
- Process year-end 1099 forms.
- Serve as the primary receptionist, including answering the main phone line, distributing messages, and greeting visitors.
- Manage company mail and package distribution.
- Oversee general office supply inventory.
- Prepare weekly financial reports for stakeholders.
- Renew annual company business licenses.
- Assist with records retention and archiving.
- Process new hire and termination paperwork, including ADP system registration for new employees.
- Ensure completion and secure storage of all employee paperwork.
- Initiate benefit enrollments.
- Assist the Office Manager with employee communications.
- Maintain I-9 and AAP binders to ensure compliance.
- Participate in weekly payroll processing, including report downloads and posting to the General Ledger.
- Maintain equipment files for asset purchases and sales.
- Prepare quarterly asset reconciliation for accountants and insurance company.
- Manage company fuel cards.
- Ensure licenses, tonnage, and tabs are current.
- Prepare and file annual heavy highway use tax.
- Assist with general ledger account maintenance and report generation.
- Create new GL accounts and process GL entries as needed.
- Proven experience in accounting or finance.
- Strong knowledge of accounting principles and practices.
- Proficiency in Microsoft Office Suite (Word, Excel, etc.).
- Excellent organizational and communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Experience with construction desired.
