Administrative Assistant 1 – Full‑Time Permanent – Salary Range: $3,936–$5,213 Monthly – Stafford Creek Corrections Center (SCCC) – Aberdeen, WA
The Department of Corrections seeks a highly motivated Administrative Assistant 1 to provide confidential administrative, secretarial, and office‑management support for the Correctional Program Manager at the Stafford Creek Corrections Center.
Responsibilities- Perform complex secretarial duties, including prioritizing work, compiling reports, developing and maintaining database and record‑keeping systems, and managing filing procedures.
- Establish office procedures, standards, and priorities; coordinate office operations and provide guidance to staff without assigning or supervising them on a regular basis.
- Screen, sort, and distribute incoming correspondence and phone calls to appropriate personnel.
- Research and compile statistical data for the preparation of reports and special projects, ensuring accuracy and compliance with policies and procedures.
- Draft and proofread correspondence for review and approval, maintaining confidentiality and professional integrity.
- Coordinate weekly incoming and outgoing transportation of incarcerated individuals, including screening of arrivals, unit placement according to criteria and available bed space, and scheduling of new‑arrival orientations with facilitators.
- Maintain electronic and manual filing systems; assist with documentation related to visitation schedules and special visit tracking.
- Attend meetings, take and transcribe minutes, and support project development meetings with the Correctional Program Manager.
- Maintain and update databases, spreadsheets, and Microsoft Office documents; prepare spreadsheets, develop formulas and graphs, and integrate text and graphics into reports.
- High school graduation or equivalent.
- Two (2) years of progressively responsible office experience requiring keyboarding or typing.
- Proficient computer skills using Microsoft Office (Outlook, Word, Excel, Teams, SharePoint) or equivalent software.
- Demonstrated ability to maintain confidentiality and adhere to professional standards.
- Strong written communication skills: clear, factual, concise, and grammatically correct.
- Ability to prioritize tasks and meet established timelines, rules, policies, and procedures.
- Two or more years of experience communicating verbally and in written correspondence with incarcerated individuals, co‑workers, the public, and external agencies.
- At least one year of independent performance on complex secretarial assignments requiring substantive knowledge of regulations, rules, policies, and procedures.
- At least one year of experience drafting professional correspondence.
