Administrative Assistant

Location:Aberdeen, WA

Setting:Outpatient Hospital-Based Physical Therapy Clinic

Schedule:Full-Time | Monday-Friday (30-40 hours per week)

Compensation:$18-$21 per hour, depending on experience

Position Overview

We are seeking a friendly, organized, and customer-focused Administrative Assistant to join a busy outpatient hospital-based physical therapy clinic. This is a front-office role with direct patient interaction, making excellent customer service and professionalism essential. Previous medical office experience is preferred.

The Administrative Assistant supports the rehabilitation department by answering phones, greeting patients, scheduling appointments, verifying insurance, maintaining an organized clinic environment, and assisting with a variety of administrative duties that help ensure efficient daily operations.

Key Responsibilities
  • Answer incoming phone calls and take accurate messages in a professional manner.
  • Greet patients, families, caregivers, and visitors with a welcoming and friendly attitude.
  • Process therapy referrals promptly and gather all necessary patient information.
  • Build positive relationships with referring healthcare providers.
  • Complete patient registration and collect required demographic and medical information.
  • Assist patients and caregivers with intake paperwork, medical history, insurance information, and other required documentation.
  • Verify insurance benefits and authorizations while preparing reports, logs, and required documentation in accordance with applicable regulations.
  • Coordinate patient schedules while balancing therapist availability and patient needs.
  • Track and maintain treatment plans, certifications, and recertifications as required.
  • Contact patients with appointment reminders as needed.
  • Maintain patient confidentiality and comply with all HIPAA regulations.
  • Collect patient payments and assist with insurance claims or denials as needed.
  • Provide exceptional customer service to patients, families, providers, and coworkers.
  • Assist with onboarding new staff, students, and volunteers.
  • Monitor office and therapy supply inventory and assist with maintaining a clean, organized clinic environment.
  • Support efforts to improve efficiency and productivity within the department.
  • Maintain positive working relationships with the healthcare team and patients.
  • Complete required departmental reports.
  • Attend departmental meetings and training sessions.
  • Follow all organizational policies and procedures, including safety, infection control, and emergency protocols.
Qualifications Education & Experience
  • High school diploma or GED required.
  • One to three years of administrative or medical office experience preferred.
  • Equivalent combinations of education and experience will be considered.
Skills & Qualifications
  • Strong data entry and typing skills with excellent attention to detail.
  • Excellent customer service and communication skills.
  • Ability to work professionally and collaboratively with patients, families, providers, and coworkers.
  • Strong organizational and multitasking abilities.
  • Flexible, adaptable, and willing to learn new processes.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
