ACCOUNTING CLERK

JOB SUMMARY

Responsible for maintaining essential accounting tasks to ensure accurate and efficient record-keeping. Facilitates customer invoices, vendor payables, and supports the Accounting Team with general clerical duties.

ESSENTIAL FUNCTIONS
  • Assists with sorting and entering accounts receivable transactions and invoice mailings
  • Provides Milsoft’s ACH/EFT information to customers and assists with entering accounts receivable ACH/EFT and paper check payments in Milsoft’s accounting software
  • Makes daily post-office visits and prepares daily bank deposits
  • Assists with creating accounts receivable invoices and mails monthly invoices to customers
  • Works with customers to resolve outstanding accounts
  • Assists with updating customer and vendor account information in Milsoft’s accounting software and CRM system to ensure information is accurate and up to date
  • Records customer support transactions, subscriptions, and cancellations for billing and reporting purposes
  • Prepares W-9s for customers and requests W-9s from vendors
  • Requests and stores Customer Tax Exemption Certificates as necessary
  • Assists with reporting and paying state sales and use taxes
  • Assists with variable data reporting
  • Assists with monthly credit card reconciliation
  • Maintains consistent and professional attendance, appearance, and punctuality, and adheres to health and safety standards
  • Upholds, safeguards, and promotes Milsoft’s values and philosophy, relating particularly to ethics, integrity, and corporate responsibility.
  • Other job duties as assigned
  • QUALIFICATIONS
    • Bachelor's degree is preferred, and/or at least five years of related experience and/or training.
    • Must exhibit a high level of trustworthiness and be able to maintain confidentiality
    • Superior organizational skills with close attention to detail and accuracy
    • Must possess good citizenship traits when dealing with customers and co-workers
    • Excellent verbal and written communication skills are a must
    • Must possess superb teamwork skills and be able to navigate diverse personalities successfully
    • Basic computer skills are required. Knowledge of Quick Books is desirable.
