SUMMARY/SCOPE:
Thepart-time Administrative Assistant will be responsible for ensuring that the internal functions of the athletic training and speech-language pathology offices are operating smoothly and effectively. This employee is responsible for assisting in the daily and special functions of the office as it relates tothe community and Hardin-Simmons University.
HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING:
ESSENTIAL DUTIES AND RESPONSIBILITIES: These examples do not include all possible tasks & do not limit the assignment of related tasks.
Assists with maintaining computer databases for ATand SLP departments.
Assists with correspondence and travel arrangements for the AT and SLP departments.
Assist with departmental & campus activities including recruitment, clinic, and continuing education programs.
Assists with assignments from AT and SLP faculty.
Follows University & Departmental safety regulations and maintains confidentiality of records.
Assists in communication with prospective students, current students & other university/program-related people, including other campus administrative assistants.
Assists with collection, organization, and updating relevant data using various administrative software applications, including Adobe Creative Cloud & Microsoft Office suite (including Microsoft Teams) toassist program directors & faculty with letters, emails, spreadsheets,other documents, reports & forms.
Assists with distribution of questionnaires and collection of program statistical & other data foritems related to program accreditation.
Assist with student course registration & collection of data for and maintenance of student records for student degree plans/academic files, academic advising, course rosters, etc.& coordinating student information with appropriate on- andoff-campus personnel/offices.
Assists the SLP and AT program directors in organizing information on adjuncts, overload, or online instructors required for each department. Ensure the dean's office has appropriate and correct information to generate contracts for all adjunct instructors, faculty overload, online instructors, and employee payment requests.
Assist the SLP and AT program directors and faculty with course scheduling as well as scheduling individual, departmental and other
University meetings, travel, community events and committee meetings.
Understanding priority for these events according to urgency is essential.
Assists with promotion and marketing for the athletic training and speech-language pathology departments.
Provide professional and confidential assistance to the Athletic Training and Speech-Language Pathology program directors and faculty,including attending relevant departmental meetings to take minutes.
Maintain a professional, efficient office environment, andensure effective working relationships with all HSU faculty and staff and community partners.
Assists the AT and SLP program directors with budgetary operations, including submitting requisitions, making deposits,ordering/purchasing supplies, verifying delivery, maintaining receipts,tracking monthly expenses and budget planning.
Assist the administrative assistant to the dean of the College of Health Professions with needs regarding any credit card receipts andensure expenses are appropriately charged to the correct departments if needed.
Assist with intake and all requirements for scheduling of patients for the SLP clinic.
Other duties may be assigned based on departmental needs.
SUPERVISORY RESPONSIBILITIES:
Thereare no supervisory responsibilities for this position, except for assisting with oversight of student workers in the department.
