Job Description

The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or have behavioral problems. This role supports the Risk Management Department with secretarial and clerical duties, including answering telephones, data entry, ordering supplies, distributing mail, completing work orders, and coordinating the Return-to-Work Program. The Administrator assists in FMLA, Employee Reassignment Process, and Workers Compensation Management Program, maintaining clear records, coordinating with medical providers, and acting as liaison between facility, supervisors, and external agencies.

Job Functions
  • Attend work on a regular basis; may work rotating, extended shift, or overtime as required.
  • Provide routine administrative support and moderately complex secretarial/clerical work such as bookkeeping, inventory control, statistics, purchasing, and accounting.
  • Answer all phones, check voicemails, type and edit correspondence, letters, and reports; handle all incoming and outgoing mail.
  • Order office supplies and enter work orders for the Risk Management Department.
  • Complete Risk Management case management notes for staff calling in; notify Return-to-Work Coordinator and assist as requested.
  • Assist the Return-to-Work Coordinator with clearing staff members returning to work, collecting doctor’s notes, printing or sending emails, and managing staff lists.
  • Create a BJO for non‑work‑related injuries, assign alternate duty, and send notification emails.
  • Collect and track Risk Management daily sign‑in logs; enter data into Excel and file completed documents.
  • Assist the FMLA case manager with case files and act as FMLA case manager in their absence.
  • Complete an OJI Injury report, Bona Fide Job Offer for restrictions, and assist employees with campus treatment.
  • Complete an OJI Workers Compensation packet and notify Workers Compensation Case Manager.
  • Manage case of reassigned staff, create reassignment BjOs, and provide reassignment agreements.
  • Define, learn, and apply new technologies, methods, and processes.
  • Adapt to ambiguity, changing priorities; develop positive relationships and effective communication.
  • Maintain confidential records in accordance with HIPAA and regulations.
  • Work occasional overtime, weekends, and hard‑to‑meet deadlines under high stress.
Knowledge, Skills, and Abilities
  • Knowledge of office practices and administrative procedures.
  • Skill in using a personal computer and office equipment.
  • Working knowledge of business English, spelling, punctuation, arithmetic, and office procedures.
  • Excellent written and verbal communication skills; ability to be flexible and prioritize.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and database applications (People Soft preferred).
  • Ability to maintain confidentiality per HIPAA and employment regulations.
  • Knowledge of Transitional Duty Program and Reassignment process.
  • Extensive knowledge of Federal and State laws related to Workers Compensation, FMLA, and ADA.
  • Skill in reviewing medical documentation for appropriate actions per HHSC and AbSSLC policies.
  • Ability to prepare and maintain detailed records, files, and reports; send email; perform data entry.
  • Effective communication with medical care providers, facility staff, other agencies, and the public.
  • Ability to work harmoniously with staff and residents at Abilene State Supported Living Center.
Initial Screening Criteria
  • High School Diploma or GED required.
  • College credits (30) or one year clerical/administrative work and customer service experience preferred.
  • Experience with FMLA issues, leave of absence monitoring preferred.
  • Proficiency in computer programs and one year work experience involving computer and keyboard use.
  • Experience in professional customer service environment.
  • Experience keeping data accurate and efficient.
  • Bilingual English/Spanish skills preferred.
Additional Requirements

Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including CANRS, Nurse Aide, Medication Aide, and HHS List of Excluded Individuals/Entities (LEIE). Males ages 18‑25 must register with Selective Service. All State Supported Living Center employees are subject to random drug testing. Flexibility in work hours, overtime, extended hours, weekends, and holidays may be required.
