Position Summary The Program Coordinator oversees the implementation, quality, participation, and tracking of assigned Boys & Girls Club programs at the Club site. The core responsibility of this position is to ensure Youth Development Professionals (YDPs) are consistently implementing programs in their assigned areas and have the training, supplies, materials, and support needed to do so successfully.
Because this position works across Club operations and organization-wide programming, the Program Coordinator receives direction and accountability from the Assistant Director, Unit Director, and Director of Programs. The position will be filled through a committee-based hiring process to ensure alignment among the leaders who will work directly with the Program Coordinator.
Success in this position is measured by Consistent delivery of quality programs, strong YDP support, accurate program attendance and documentation, timely access to needed supplies, completion of required reporting, and effective representation of Club programs in the community.
Essential Duties and Responsibilities
• Oversee assigned programs and ensure they are implemented consistently and with quality at the Club.
• Work directly with YDPs to help them implement programs within their assigned rooms, age groups, and program areas.
• Ensure YDPs understand program expectations, curriculum, schedules, goals, and required activities.
• Observe program delivery and provide coaching, guidance, feedback, and hands-on support to staff.
• Assist staff with preparing activities, adapting curriculum, and facilitating programs when additional support is needed.
• Identify program supply and material needs and work with Club leadership and the Director of Programs to obtain needed resources.
• Organize and maintain program materials so staff have timely access to the supplies needed to implement activities.
• Track member participation and attendance in assigned programs and ensure records are accurate and completed consistently.
• Maintain required rosters, assessments, sign-in sheets, program documentation, and other records.
• Assist with organizational and grant-related program reporting and monitor progress toward participation and program goals.
• Provide program-related training, demonstrations, coaching, and support to YDPs and other Club staff.
• Identify staff training needs and communicate those needs to Club leadership and the Director of Programs.
• Represent Boys & Girls Club programs at schools, community meetings, partner events, presentations, and other activities as assigned.
• Speak with community partners, parents, schools, and stakeholders about Club programs, opportunities, and youth impact.
• Help build relationships with organizations that may provide resources, volunteers, partnerships, or program opportunities.
• Maintain regular communication with the Assistant Director, Unit Director, and Director of Programs regarding program successes, needs, concerns, and upcoming activities.
• Support special events, organization-wide programs, staff trainings, Club activities, and other duties as assigned.
Required Qualifications
• High school diploma or equivalent required.
• Experience working with children, teens, youth programs, education, or after-school programming preferred.
• Strong communication, organization, leadership, and time-management skills.
• Ability to coach and support staff while managing multiple programs, deadlines, attendance records, supplies, and reporting requirements.
• Must meet all Boys & Girls Club of the Big Country employment, background check, training, and safety requirements.
Preferred Qualifications
• College coursework or a degree in education, social work, youth development, recreation, or a related field.
