Position Summary
XSTAR Aviation is a contractor‑owned, contractor‑operated supplemental trainer providing B‑1 aircrew qualification and currency training to the USAF under a SBIR contract at Dyess AFB and Ellsworth AFB. The Aircrew Training & Compliance Manager is responsible for managing the integrated aircrew training pipeline, training records, qualification tracking, and Electronic Flight Bag (EFB) program. This position serves as the authoritative source for pilot qualification, currency, and training readiness status and works closely with the Flight Operations & Scheduling Manager to ensure training requirements are integrated into daily operations.
This role operates within a small, fast‑moving operations team and requires strong organizational skills, attention to detail, and the ability to manage multiple regulatory and training systems simultaneously.
- Owns pilot progression from prerequisites through Flight Safety qualification, FAA certification, and continuation training.
- Serves as the sole stakeholder for BSTAR gradebook creation, maintenance, updates, and final product management.
- Manages the military logbook program and aircrew currency tracking system for all USAF and contractor pilots.
- Tracks pilot qualifications, certifications, and training milestones; provides training readiness status to the Site Lead and Flight Operations & Scheduling Manager.
- Coordinates pilot pre‑entry requirements, FAA medicals, FAA written examinations, Flight Safety enrollment, simulator scheduling, and certification activities.
- Maintains qualification and currency records for contractor and USAF aircrew.
- Conducts routine audits of training records, grade books, and qualification documentation to ensure accuracy and compliance.
- Tracks and reports training throughput, qualification progression, and readiness metrics to leadership and government stakeholders.
- Owns the contractor pilot currency program and continuation training program.
- Tracks FAA, company, and contract‑specific training requirements and expiration dates.
- Schedules annual recurrent training, Flight Safety events, FAA checkrides, and other required qualification activities.
- Provides advance notification of upcoming expirations and coordinates corrective actions to prevent lapses in qualification.
- Verifies aircrew qualification status and provides currency information to the Flight Operations & Scheduling Manager for schedule development and sortie assignment.
- Maintains visibility of projected qualification shortfalls and develops mitigation recommendations for leadership review.
- Manages EFB configuration, deployment, and lifecycle management for all aircrew devices.
- Administers software licenses and subscriptions for Fore Flight, Honda Jet Connect, CAMP, Polaris, and other operational systems.
- Maintains device inventory and software compliance.
- Provides first‑line technical support for EFB and aircrew software systems.
- Coordinates software renewals, vendor support, and system updates.
- Tracks medical expirations for all pilots and provides advance notification to affected personnel and leadership.
- Verifies medical qualification status with USAF for training and flight operations.
- Provides operational support to other site functions during periods of leave, temporary absence, surge operations, or staffing shortages.
- Maintains sufficient familiarity with the responsibilities and processes of the Flight Operations & Scheduling Manager and Operations Coordinator to ensure continuity of operations when required.
- Supports execution of critical recurring reports, training events, and customer communications when primary office holders are unavailable.
- Participates in cross‑training activities to ensure resilient and uninterrupted site operations.
