Position: Payroll Specialist - All levels (Sr./Manager) welcome

About the Role

The Payroll Specialist is a key member of the Accounting team, responsible for the accurate and timely administration of weekly payroll for union and shop employees and bi-weekly payroll for salaried employees. This role oversees employee payroll records, reporting requirements, compliance-related documentation, and payroll-related analysis. The Payroll Specialist will collaborate closely with Accounting, Project Management, and Operations to support business objectives, improve processes, and ensure the integrity of payroll and job costing data.

Success in this role requires strong attention to detail, excellent organizational skills, a customer-service mindset, and a willingness to support broader accounting and operational functions as needed.

Key Responsibilities Payroll Administration
  • Process weekly and bi-weekly payroll accurately and on time
  • Maintain payroll records and employee files
  • Administer payroll deductions, union reporting, certified payroll, and time-off tracking
  • Serve as the primary resource for payroll system support and troubleshooting
  • Ensure compliance with payroll regulations and reporting requirements
  • Administer various payroll requests for information and reporting
Reporting & Analysis
  • Support union audits, insurance audits, and government reporting
  • Prepare productivity, labor, and payroll-related reports
  • Assist with job costing analysis and project reporting
Accounting & Operational Support
  • Provide backup support for Accounts Payable, Accounts Receivable, Job Costing, and Inventory
  • Partner with the CFO on special projects and process improvement initiatives
  • Support fleet, equipment, and company-issued device administration
  • Maintain documentation, procedures, and training records
  • Prepare labor billing and estimating rate information
  • Prepare ACA, IFTA, and other filings
Preferred Skills

Experience processing union payroll a big plus.
