Job Overview:
To provide comprehensive EA support to Senior Executives within the Corporate Executive office. The primary purpose of the role is to provide administration, analysis, reporting and coordination support, including inbox and diary management, meeting and travel coordination as well as communication assistance and business support activities to assist business planning and project management activities.
- Perform basic admin functions providing support to C-level executives.
- Efficient documentation handling and filing systems for easy retrieval.
- Coordinating meetings, receiving visitors, and scheduling meetings.
- Oversee project timelines and keep them on track. General reporting (internal & external).
- Handle confidential information in a professional manner.
- Collaborate in preparing or modifying client-specific marketing material suitable for the target client.
- Collect and analyze data across various departments.
- Present findings (presentations, charts, graphs) and pitch ideas or suggestions to management.
- Generate business and forecast reports for management as needed.
- Review processes with the goal of developing or improving reporting tools for effective business decisions.
- Develop first‑round proposals and projection forecasts.
- Arrange travel, accommodation, and visas for frequent business travel for internal and external meetings/events.
- Coordinate internal and external meetings, ensuring attendance and timely distribution of documentation.
- Organize global video/telephone conferences across multiple time zones.
- Collate and issue agendas and minutes for regular meetings along with agreed follow‑up actions.
- Manage, monitor, and report the processing and coding of invoices and expense claims for each executive.
- Ensure all hardcopy and electronic materials containing confidential information are securely stored and only accessible to authorized viewers.
- Pro‑active and complex diary management syncing with various time zones.
- Inbox management for each executive to support prioritization of tasks.
- Manage incoming and outgoing communication for the executives to manage expectations of internal and external customers.
- Build strong relationships with G42 divisions.
- Meet and greet visitors at all levels of seniority.
- Attend relevant meetings to ensure representation.
- Support the executives to research and collate data, prepare reports and presentation packs for different stakeholders.
- Contribute to and monitor specific projects as assigned or agreed by the executives.
- Organize and coordinate events.
- Perform any other duties commensurate with this level and role.
