We are seeking a highly experienced Executive Assistant who will be responsible for providing comprehensive support to C‑suite executives for our high‑profile client, an investment firm in Abu Dhabi with offices in London and New York.
This position is a 12‑month contract role and is non‑renewable.
Key responsibilities and qualifications:- The successful candidate will act as a trusted partner to senior leadership, ensuring seamless day‑to‑day operations, effective coordination across stakeholders, and proactive support across business and project activities.
- Manage complex diaries and scheduling for C‑suite executives, ensuring effective prioritisation of meetings and commitments.
- Coordinate all travel arrangements, including flights, accommodation, ground transport, and detailed itineraries.
- Manage bookings, logistics, and last‑minute changes with discretion and efficiency.
- Act as a central point of contact between executives and internal and external stakeholders, ensuring clear communication and smooth coordination.
- Provide administrative and coordination support across multiple projects running in parallel within the business.
- Track key deadlines, actions, and deliverables, ensuring timely follow‑up and escalation where required.
- Manage documentation, approvals, and signatures using digital tools such as Docu Sign.
- Set up and coordinate meetings, prepare agendas, circulate materials, and follow up on agreed actions.
- Support general business administration, contributing to the smooth operation of the executive office in a high‑pressure environment.
- Proven experience as an Executive Assistant supporting C‑suite is essential
- Exceptional organisational and time‑management skills, with the ability to manage competing priorities.
- Experience gained in structured, high‑performance environments such as large corporates, blue‑chip companies, or multinational organisations.
- Strong communication skills and confidence working with C‑level executives
- High level of discretion and professionalism when handling confidential information.
- Proficiency with digital tools and office systems, including document management and scheduling platforms.
- Proactive, adaptable, and solutions‑focused approach to work.
- Immediate availability - mandatory
