Key Responsibilities
  • Review RFQ and RFP documents and support the preparation of compliance matrices, identifying submission requirements, deliverables, and responsibilities.
  • Support proposal kickoff activities by preparing agendas, schedules, compliance summaries, and responsibility matrices.
  • Prepare, maintain, and update proposal boilerplate content, including templates, resumes, and project descriptions, aligned with solicitation requirements.
  • Coordinate with subject matter experts, discipline leads, and functional teams to assign proposal sections and collect technical and non-technical inputs.
  • Track inputs from contributors, follow up on outstanding items, and support adherence to proposal schedules and deadlines.
  • Format proposal documents and perform desktop publishing in accordance with approved templates and branding guidelines.
  • Proofread and edit proposal content to ensure accuracy, clarity, consistency, and compliance.
  • Tailor written content to meet specific client, project, and solicitation requirements.
  • Coordinate with subconsultants to collect required documentation, forms, and supporting information.
  • Liaise with internal departments such as Contracts, Legal, Finance, and Corporate teams to obtain inputs, reviews, and approvals.
  • Prepare first drafts of administrative forms and solicitation-required documentation.
  • Review proposal drafts for compliance and quality, flagging gaps or risks to the Proposal Manager.
  • Support print production, submission logistics, proposal closeout, archiving, and repository updates.
  • Research and analyze information from previous proposals, databases, and internal sources to support proposal development.
  • Utilize AI‑assisted tools for formatting, compliance tracking, proofreading, and content structuring under proposal leadership guidance.
  • Provide direct coordination and administrative support to the Proposal Manager throughout the proposal lifecycle.
Ideal Profile

Bachelor's degree in Engineering or an equivalent discipline.

Minimum five years of experience in proposal coordination or bid support roles, with at least two years in a similar position.

Experience supporting proposals for engineering, construction, infrastructure, or professional services projects.

Strong ability to work under tight deadlines while managing multiple priorities simultaneously.

High attention to detail with a structured and process‑driven approach.
