Follow up and ensure the preparation and development of paper and electronic archiving systems and mechanisms based on best practices with the aim of meeting work requirements for documenting, indexing and classifying files and ensuring the provision of the necessary support and training to organizational units to ensure that they follow the plans and work mechanisms for archiving in the best possible way and according to the service levels specified in the department, and coordinating with service providers to carry out all archiving tasks.

  • Contribute to developing the department's strategy in line with the strategic objectives of the Finance Department.
  • Contribute to developing the department's policies and procedures covering all areas of work, to achieve compliance with internal controls and to provide high-quality and cost-effective services.
  • Develop work plans and mechanisms for services and archives to determine appropriate procedures for dealing with classification, indexing, archiving and preservation of documents and files in the departments and sectors affiliated with the department and facilitate access to them and use them when necessary.
  • Supervise the establishment of paper archives and electronic archiving systems to document all laws, legislation, regulations, decisions, documents and procedures and classify them according to best practices to enhance operational efficiency and update them periodically to ensure meeting daily work requirements.
  • Ensure that all documents, references, legislation, information and files are collected, classified, categorized and preserved in an organized manner in cooperation with organizational units and relevant authorities to ensure that all documents are archived and preserved for use when needed.
  • Ensure that organizational units follow the plans and work mechanisms for classifying, indexing, archiving and preserving documents and files.
  • Follow up on the registration, distribution and management of incoming and outgoing correspondence from the department in coordination with service providers.
  • Ensure coordination with service providers to carry out inventory and destruction of documents and files and ensure the transfer of permanent and historical documents to the National Archives.
  • Follow up on the preparation and design of awareness and training programs directed at employees to increase awareness of the importance of information management, and on the methods of using institutional archiving systems and providing training courses.
  • Supervise the provision of the necessary support to organizational units to ensure that they follow the plans and work mechanisms for classifying, indexing, archiving and preserving documents and files.
  • Provide the necessary support to the line manager and perform any other related tasks assigned.
Experience and Qualifications
  • Minimum of 10 years of experience in a similar field/position.
  • Bachelor’s degree or higher in Business Administration or its equivalent in a specialization that is compatible with the job duties
