We are seeking an experienced Lead Document Controller to manage and oversee all project-related documentation for major Oil & Gas EPC projects. This role is critical in ensuring the accurate, timely, and secure flow of technical and project documentation across all stakeholders while maintaining strict compliance with project, client, and regulatory requirements.
The successful candidate will play a key role in supporting engineering, construction, quality, and project management teams through effective document control processes and Electronic Document Management Systems (EDMS).

YOUR ROLEAs our Lead Document Controller, you will
Document Management & Control- Establish and maintain project document control systems in accordance with company and project standards.
- Control, track, distribute, and archive all incoming and outgoing project documentation.
- Manage:
Engineering and technical drawings, Shop drawings, Material submittals and method statements, RFIs, NCRs, MOMs, transmittals, correspondence, and change orders - Ensure document registers are maintained with full version control and audit trails.
- Verify that only current and approved documents are distributed to relevant stakeholders.
- Enforce document numbering, naming conventions, and formatting standards.
- Receive, review, register, and distribute engineering and construction drawings.
- Coordinate drawing revisions with consultants, subcontractors, and engineering teams.
- Monitor drawing distribution matrices and revision status.
- Support drawing review processes and comment resolution activities.
- Ensure completeness and accuracy of drawing submissions.
- Liaise with clients, consultants, contractors, suppliers, and internal project teams on document-related matters.
- Coordinate with engineering, QA/QC, planning, and construction teams to ensure documentation requirements are met.
- Ensure timely communication of revised drawings and documents to site personnel.
- Participate in project meetings and document control reviews as required.
- Ensure all document control activities comply with project QA/QC procedures.
- Support internal and external audits by providing accurate documentation records.
- Maintain records in accordance with ISO standards, client specifications, and regulatory requirements.
- Identify and resolve documentation discrepancies proactively.
- Implement and manage Electronic Document Management Systems (EDMS), including:
Aconex, Procore, Asite, SharePoint, Other similar platforms - Provide training and guidance to project teams and subcontractors on document control procedures.
- Troubleshoot system-related issues and coordinate with IT support when necessary.
- Manage document archiving throughout the project lifecycle.
- Support the preparation of as-built documentation and final project handover packages.
- Maintain complete handover indexes and project closeout documentation records
- Diploma or Bachelor's Degree in any relevant discipline.
- Certification in Document Control, Records Management, or EDMS is preferred.
- Minimum 5-8 years of Document Control experience
, with at least 2-3 years in a Lead or Senior Document Controller role
. - Proven experience supporting large-scale Oil & Gas, EPC, Engineering, or Construction projects
. - Strong experience managing engineering drawings and construction documentation.
- Comprehensive knowledge of full document lifecycle management.
- Strong knowledge of document control processes, standards, and best practices.
- Experience using EDMS platforms such as Aconex, Procore, Asite, SharePoint, or equivalent.
- Excellent organizational skills with exceptional attention to detail.
- Strong communication and stakeholder management abilities.
- Ability to work effectively in fast-paced, multidisciplinary project environments.
- Proficiency in Microsoft Office Suite and document management software.
