Position: Administrative Operations Specialist (with AI Skills)

About the Role

I Buy Real Estate is a real estate brokerage on Saadiyat Island, Abu Dhabi, working with residential and investment properties and partnering directly with developers including Aldar and Bloom.

We’re a team of 20+ people from 14 nationalities, structured as a teal organisation - flat hierarchy, full ownership, no approval chains.

This is an administrative and operational role at the heart of how the company runs. You’ll keep things organised, moving, and improving - and you’ll use AI tools to do it better. Success in this role looks like processes that run smoothly, tasks that get completed without being chased, and a team that relies on you because you make their work easier.

Responsibilities
  • Manage and coordinate day-to-day administrative and operational activities to keep the business running smoothly
  • Use AI tools to automate repetitive tasks, organise information, and improve internal workflows
  • Identify inefficiencies in existing processes and propose or implement practical improvements
  • Conduct research, analysis, and information gathering to support decision-making across the business
  • Assist with projects and initiatives across different functions — from onboarding to reporting to communications
  • Take ownership of tasks end-to-end: from scoping and planning through to delivery
  • Collaborate with a multicultural, cross-functional team and communicate clearly across different working styles
Qualifications
  • Recent graduate in any relevant field (business, communications, technology, or similar)
  • Hands‑on experience using AI tools such as ChatGPT, Claude, Notion AI, or similar — for writing, research, analysis, or problem‑solving
  • Strong organisational skills with attention to detail and the ability to manage multiple priorities
  • Clear written and verbal communication skills in English
  • Self‑directed working style - comfortable taking initiative without waiting to be told what to do
  • Analytical mindset: able to gather information, spot patterns, and suggest improvements
  • Comfortable working in a fast‑paced, international environment
  • Additional languages are a plus; any relevant internship or project experience welcome
