Position Summary

The Senior Officer – Event Management is responsible for supporting with the organisation and execution of major HCT events, searching for potential speakers, caterers and venues. He/she also is responsible to support with the preparation of pre-event status reports and post-event reports as well as supporting with evaluation surveys to enhance quality of HCT events.

Duties and Responsibilities
  • Propose events to be included in the annual event calendar.
  • Support with the organization and execution of major system-wide events (including national Holidays, graduation ceremonies, HCT conferences, etc.) through collaboration with all internal and external stakeholders.
  • Support the planning of events including timeline, content, registration arrangements, travel arrangements, etc.
  • Propose themes, programs, marketing needs and logistics for each event.
  • Liaise with potential speakers to collect their biographies.
  • Support with the research in order to select the best venue, as and when needed, for each event.
  • Support with the research to provide the best packages for caterers, Specialist – Photography and Specialist – Video Producer.
  • Support in the preparation of reports related to the events’ costs.
  • Support with the drafting of regular pre-event status reports and post-event reports.
  • Participate in the surveys conducted by asking to fill in an online evaluation feedback form or distribute at the end of the event an evaluation form to enhance the quality of HCT events.
  • Support in solving the conflict related to delayed events and ensure the smooth run of the event.
  • Update records and reports for all HCT events.
  • Participate in the dismantling and removal of the event and efficient clearance of the venue.
SKILLS AND EXPERIENCE
  • Minimum of a Higher Diploma in a relevant field is required e.g. Business, Public Relations.
  • Full English proficiency is required.
  • Intermediate computer literacy is required e.g. MS Office
  • Minimum of zero to three years of work experience in Event Management or relevant field
