Job Purpose

The position is responsible to overall manage and support the Recruitment, Payroll, Training & Development, PR Coordination, File Management, Fleet Management, Group Insurance and General Core Administration activities of the HR department aligned with the organizational goals and strategies.

Duties and Responsibilities
  • Track and timely coordinate with the PRO to apply and renew Trade Licenses and other government permits as required for the smooth running of the business; ensure compliance with local regulations.
  • Identify training needs, design and execute technical certification training programs, update and maintain centralized regional training database and records in HCM System; conduct training gap analysis, arrange evaluation of effectiveness and training budget.
  • Coordinate with all departments to organize and schedule internal, external and e-learning training programs and maintain records.
  • Plan and implement all assigned HR initiatives of Veolia Group, organize events and activities for employee engagement.
  • Maintain professional and technical knowledge through continuous learning by attending educational workshops, training, and e-learning programs; reviewing professional publications and benchmarking best practices.
  • Manage general administration including office, camp and facility management; verify all PRO and Camp expense statements; manage HR petty cash.
  • File all assigned HR confidential company documents, manage Employee Personnel File and audit by authorities.
  • Track and coordinate with PRO and Camp Boss to apply and renew visas, medical, EID, labor contracts, visa stamping, certificate attestation per UAE labor law and other government formalities; ensure timely communication with employees.
  • Manage Group medical insurance, life, disability and workmen of DXB and AUH renewals; initiate new employee insurance registration, renewal and cancellation, including medical emergency claim; liaise for workmen compensation claims with HSE.
  • Coordinate procurement via BC365 for PQ and PO for all HR and camp expense.
  • Manage fleet car rentals for renewal and record keeping.
  • Prepare and update Job Description s and Organograms.
  • Prepare required monthly and other MIS KPI, HSE report as assigned.
  • Arrange air ticket for exit employees, new staff onboarding, training and hotel booking.
  • Ensure 100% data accuracy in HCM software and organize improvement initiatives; engage in HR data analysis.
  • Apply and renew tenancy contracts and other agreements of offices, yards, and camps in coordination with PROs.
  • Support departments to add activities to trade license, issue permits, gate passes, represent company in embassies and consulates if required.
  • Coordinate with PRO to support and ensure all required documentation for labor or audits/inspections from government authorities.
  • Support employee separation and exit clearance, perform exit payroll and final settlement from HCM system, and communicate to employees; also organize visa cancellation and arrange air ticket if applicable.
  • Support and timely update all HR policy and procedures; prepare official letters including salary certificates, memos and circulars.
  • Maintain ethical conduct and report any violations affecting health, safety, environment, ethics, or company reputation.
  • Perform any other tasks as assigned based on business requirement.
Job Specifications
  • Education:

    Preferably MBA (HR) or equivalent from an accredited University.
  • Professional Certification: HRM, SPHR, CIPD or similar HR certifications may add value.
  • Specialized Knowledge: UAE Labor Law and local rules and regulations.
  • Skills:

    Strong communication, organizational, leadership, man management, strong data analytical, interviewing, self-starter.
  • Computer

    Skills:

    Computer literate (Microsoft Word, Excel, email, internet, etc.).
  • Personal Characteristics:
    Team player, honest, self-confident, disciplined, highly organized and able to prioritize tasks.
  • Experience:

    At least 3 years of relevant work experience in the HR department of a reputed company in UAE.
  • Working Conditions:

    Needs to work more independently; standard hours of work; sometimes required to work extended hours.
  • Physical Requirements:

    Expected to dress professionally, as per company standards.
