The Senior Administrative Assistant will provide comprehensive administrative support to our Business Support Services team, ensuring smooth day‑to‑day operations and assisting the COO in a fast‑paced, professional environment. Located at our corporate headquarters in Acton, MA.
Responsibilities- Serve as a central point of contact for office operations, administrative support, and visitor coordination.
- Provide direct administrative support to the COO and act as backup support for the broader administrative team.
- Review project contracts to identify potential risks and ensure proper documentation.
- Track and maintain company and individual licenses, registrations, and professional certifications.
- Support client‑related administrative processes, including setup and entry of client and project data.
- Prepare, format, and distribute communications, reports, and project deliverables.
- Coordinate logistics for internal meetings, trainings, and small onsite events.
- Maintain organized records, filing systems, and shared digital work spaces.
- Partner with Facilities, IT, and Operations to maintain a professional and efficient office environment.
- Identify and implement improvements to administrative processes and workflows.
- Provide general office support to ensure seamless day‑to‑day operations.
- Manage office supplies, including inventory, ordering, and maintaining overall office readiness.
- 3–5+ years of experience in administrative, office support, or operations roles in a professional environment.
- Demonstrated ability to manage multiple priorities and projects simultaneously.
- Strong organizational and time management skills with a proactive mindset.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and attention to detail.
- Ability to handle confidential information with integrity.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint).
- Comfortable working onsite in a fast‑paced, team‑oriented environment.
- Experience supporting executive‑level leadership, ideally in a project‑based environment (e.g., engineering, consulting, construction, or technical services).
- Familiarity with ERP systems (e.g., SAP).
- Experience working with Certificates of Insurance (COIs).
- Background in contract review, paralegal work, or legal/contract administration.
- Experience coordinating meetings, visitors, and internal events.
- Base salary range: $55,000 to $65,000 per year.
