Are you an experienced Executive Assistant who thrives in a fast-paced, high-impact environment? We're looking for a polished, proactive professional to partner closely with our Chief Growth Officer and Executive Leadership Team, ensuring the organization operates efficiently while supporting strategic initiatives.
This is an outstanding opportunity for a highly organized, resourceful professional who enjoys working with senior executives, managing complex priorities, and serving as a trusted business partner.
What You'll DoServe as the primary Executive Assistant to the SVP, Chief Quality, Regulatory & Compliance Officer
- Manage complex executive calendars, prioritize meetings, coordinate logistics, and resolve scheduling conflicts.
- Coordinate domestic and international travel, including detailed itineraries and last-minute changes.
- Plan and facilitate executive meetings, town halls, leadership offsites, and team events.
- Prepare agendas, presentations, meeting materials, take meeting notes, and track action items.
- Manage expense reports and corporate card reconciliations using Concur.
- Process purchase orders, manage vendor setup in SAP, and oversee invoice processing.
- Maintain collaboration tools including Microsoft Teams and SharePoint to support communication across the organization.
- Handle highly confidential information with professionalism, discretion, and sound judgment.
- Partner across departments to ensure seamless communication and execution of key business initiatives.
- 7–10+ years of experience supporting C‑level executives in a dynamic corporate environment.
- Experience supporting global organizations with complex scheduling across multiple time zones.
- Exceptional organizational, project management, and multitasking abilities.
- Strong communication and interpersonal skills with a collaborative approach.
- Ability to work independently, anticipate needs, and solve problems proactively.
- Advanced proficiency with Microsoft Office Suite, Microsoft Teams, SharePoint, and Smartsheet.
- Experience with Concur and SAP is highly preferred.
- Professional, resilient, and adaptable with the ability to thrive under pressure.
- Partner directly with executive leadership and play a key role in driving organizational success.
