Health Information Management Manager

We are currently looking for a Full Time Health Information Management Manager to join our Health Information Management Team team located at the Family Services working 8:00AM-5:00PM - Mo Tu We Th Fr.

Summary:

The Health Information Management (HIM) Manager oversees mental health information management for the Department of Family Services, ensuring secure, accurate, and compliant electronic health records. This role provides direction for daily HIM operations, documentation integrity, and information release processes.

Responsibilities:

  • Oversees, plans and directs Mental Health Information Management operations, ensuring alignment with organizational goals, regulatory requirements, and privacy standards
  • Coordinates and supervises daily HIM activities including documentation integrity, release-of-information processes, scanning quality, data accuracy within the electronic health records (e.g. Epic)
  • Develops, maintains, and enforces policies and procedures, and other written sets of instructions that promote excellence in mental health and human services
  • Oversees coding and abstracting activities, as well as documentation integrity, release-of-information processes, scanning quality, record completion, and data accuracy within EHR to ensure accurate, complete, and compliant documentation and reimbursement
  • Uses EHR reporting tools and management data to identify workflow gaps, documentation or coding issues, uncoded/unbilled accounts, and compliance risks; leads corrective action and process improvement efforts
  • Partners with resource management and mental health leadership to support effective patient registration, scheduling, and third-party billing across multiple locations
  • Participates in performance improvement initiatives, using trends and data to enhance clinical documentation quality and service delivery
  • Serves as a subject matter expert on mental health documentation standards, privacy requirements, information handling, and EHR workflows
  • Provides timely assistance to clinical and administrative staff regarding records retrieval, documentation questions, and privacy guidance
  • Supervises assigned staff, including staff scheduling, workload distribution, productivity monitoring, evaluations, coaching, corrective actions, and performance improvement plans
  • Maintains a safe, professional, and well-resourced work environment, ensuring adequate staffing, equipment, and adherence to organizational standards
  • Ensure staff receive required training and participate in continuing education to maintain compliance and competence in mental health information management
  • Represents the department in meetings, committees, task forces, and multidisciplinary teams as assigned
  • Provides required monthly reports to the designated supervisor
  • Performs all other duties as assigned

Competencies:

  • Ability to speak persuasively and dynamically in public, whether in front of small internal groups or large public gatherings

  • Ability to maintain a high level of confidentiality in all matters
  • Must be self-motivated
  • Knowledge of relevant privacy regulations such as The Privacy Act, Freedom of Information Act and Health Insurance Portability and Accountability Act (HIPAA)
  • Must have a clear understanding of 42 Code of Federal Regulations (CFR), Part 2
  • Knowledge of all pertinent federal, tribal and state laws, regulations and compliance requirements
  • Knowledge of health information management operations and processes
  • Knowledge and understanding of First American populations
  • Must be proficient in the use of electronic health record keeping systems
  • Understanding of the health care billing industry, Medicare, Medicaid and private insurance
  • Knowledge of budget management
