Job Description

Title: Attendance Secretary

Salary: $39,383.44 (Level II, Step
1)

Duration: 10 Months

Reports To: Director of Deans

Purpose Statement:

The job of Attendance Secretary is to ensure accurate attendance accounting within the District; resolve attendance‑related issues; ensure compliance with state reporting and documentation requirements; convey attendance‑related information to appropriate parties; and provide general clerical support, information and/or direction as may be assigned at the school site.

Essential Duties and Responsibilities
  • Maintain a variety of manual and electronic (Power School) documents, files, and records (e.g., student attendance, notification logs, locker assignments, field trip permission slips, doctor’s notes, etc.) to provide up‑to‑date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Obtain attendance records for student entry and exit from campus during school hours (e.g., telephone messages, admission slips, late notices, class release forms, etc.) to ensure accurate reporting of excused absences.
  • Perform general clerical functions (e.g., scheduling, copying, faxing, data entry, filing, etc.) to support office operations.
  • Prepare attendance‑related reports and written materials (e.g., standardized/special reports, letters to parents, passes for students, incoming calls on attendance slips, etc.) to convey information regarding school and/or district activities and procedures.
  • Process documents and materials into Power School (e.g., reason for absence, unexcused report, homebound students, physical education excuses, vacation absences, field trips, etc.) to disseminate information in compliance with established administrative guidelines.
  • Respond to questions from a variety of individuals (e.g., staff, parents, probation officers, other schools, and/or students, etc.) to provide information and/or directions as required.
  • Retrieve calls from answering machines to record them and ensure absences are reported accurately.
Other Functions
  • Attend department and/or in‑service meetings to convey and/or gather information required to perform functions.
  • Perform other related duties as assigned to ensure the efficient and effective functioning of the work unit.
Job Requirements:

Minimum Qualifications

Education: High school diploma or equivalent.

Experience: Job‑related experience required.

FLSA Status: Non‑Exempt.

Position Type: Full‑Time.

Skills, Knowledge and Abilities

Skills: Operate standard office equipment using software applications including word‑processing, spreadsheets and databases; prepare and maintain accurate records.

Knowledge: Basic math (fractions, percents, ratios); read manuals, write documents following prescribed formats; understand complex multi‑step written and oral instructions; codes, regulations and laws related to student attendance; common office machines and practices; business telephone etiquette;
Microsoft Office (Word, Excel, PowerPoint).

Abilities: Schedule activities, gather, collate and classify data; use basic job‑related equipment; work flexibly with others in varied circumstances; meet deadlines; communicate with diverse groups; set priorities and work under minimal supervision; maintain confidentiality; read, write and communicate clearly in English.

Responsibility

Work under direct supervision using standardized routines; provide information and/or advise others; utilize resources from other work units as required; impact the organization’s services through consistent performance.

Working Environment

Physical demands include some lifting, carrying, pushing, pulling, stooping, kneeling, crouching, crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, 10% standing. The job is performed in a generally hazard‑free environment.
