Position

Summary

We are seeking a detail-oriented and organized Project Administrator to support our Director of Projects in coordinating, tracking, and communicating key project activities. This position plays a critical role in keeping projects on schedule and ensuring communication between vendors, customers, and internal teams remains clear and consistent.

Key Responsibilities
  • Provide administrative and organizational support to the Director of Projects.
  • Maintain up-to-date project records, documents, and tracking spreadsheets.
  • Communicate professionally with vendors and customers regarding project timelines, scheduling, and updates.
  • Assist with project coordination tasks including purchase orders, shipping details, and job documentation.
  • Monitor and update project statuses in internal systems and reports.
  • Help prepare weekly project summaries, reports, and follow-ups for leadership.
  • Support the project team with scheduling, documentation, and issue resolution.
  • Ensure all communications are timely, accurate, and reflect company standards.
  • Reach out to vendors for material and labor pricing.

Qualifications
  • 2+ years of experience in project coordination, administration, or related support role (construction, service, or trades industry experience a plus).
  • Strong communication and organizational skills.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word) and general computer systems.
  • Ability to multitask, prioritize, and manage multiple projects simultaneously.
  • Professional demeanor and attention to detail.
  • Experience working with vendors and/or customers in a project-based environment preferred.
