Sound Image is looking for a reliable and detail-oriented Business Operations Assistant to be the backbone of our day-to-day operations. In this role, you will keep the office running smoothly, support our team with administrative and bookkeeping tasks, manage communications, and ensure every client and visitor feels welcome. No two days are exactly alike — we need someone who can think critically, pivot when priorities shift, and step in wherever the team needs support.
WhatYou’ll Do Office
- Maintain a clean, organized, and well-stocked office environment, supporting daily operations and the team as needed
- Assist with opening and closing procedures to keep daily operations on track
- Serve as a friendly and professional first point of contact for clients, visitors, and vendors
- Manage incoming and outgoing communications, including phones and email
- Coordinate the receipt and distribution of shipments and deliveries
- Support day-to-day bookkeeping and financial record-keeping tasks
- Assist with invoice processing, account reconciliation, and expense tracking
- Maintain accurate and organized records for vendors, employees, and clients
- Assist with vendor orders and monitor for project-related purchases
- Provide general administrative support across departments as needed
- Prior experience in an administrative, receptionist, or office assistant role preferred
- Accounting or bookkeeping experience a plus
- Strong math abilities and comfort working with numbers
- Familiarity with Quick Books or similar bookkeeping software is a plus
- Strong organizational skills and attention to detail
- Professional phone and communication etiquette
- Ability to multitask and prioritize in a dynamic environment
- Critical thinker who can assess situations, problem-solve independently
- Adaptable and willing to assist wherever needed — no task is too big or too small
- Dependable, punctual, and a team player
