The IVF Coordinator will oversee a range of clinical and administrative responsibilities, ensuring the highest standard of patient care. This role involves assisting with the treatment and care of patients in a professional manner while aligning with the practice's goals and objectives. Working closely with physicians and clinical staff, the IVF Coordinator manages patient care and treatment related to fertility testing, protocols, and procedures.

Additionally, they play a key role in keeping patients well-informed and comfortable throughout their treatment journey.

What you'll be doing:
  • Patient Education & Counseling – Educate patients about the IVF process, medications, procedures, and expectations. Provide emotional support throughout the journey.
  • Treatment Planning & Coordination – Develop personalized treatment schedules, coordinate appointments, all infertility diagnostic tests and treatment plans with physicians and other clinical staff, and ensure patients follow the necessary protocols and schedules.
  • Medication Management – Guide patients on medication administration, monitor responses, and address any concerns.
  • Monitoring & Follow-up – Assist in scheduling and tracking ultrasounds, blood tests, and other diagnostic procedures. Monitor established pregnancies via ultrasonography and laboratory values through the first trimester. Keep patients informed about their progress.
  • Liaison Between Patients & Healthcare Team – Communicate between physicians, embryologists, nurses, patients and vendors to ensure seamless care; maintain relationships to a high degree of satisfaction; and act as a subject matter expert resource within scope.
  • Maintaining Medical Records – Document patient progress, treatment plans, and lab results accurately in electronic medical records (EMR) system.
  • Compliance & Legal Documentation – Ensure all consent forms, insurance paperwork, and legal documents are completed as required.
To do this effectively, you'll need the following:
  • High School Diploma or GED required. Associate’s degree or higher preferred.
  • Minimum of three years Medical Assistant experience, at least two in the field of fertility or RN licensure with one year experience, preferably in fertility or specialized care.
  • Phlebotomy experience, one year.
  • Ultrasonography experience preferred
  • Knowledge of HIPAA, OSHA, an FDA compliance
  • Understanding of basic reproductive physiology
  • Knowledge of examination, testing, diagnosis, and treatment of reproductive conditions
