Night Receptionist
Experience:
• Minimum 6 months of experience in a reception service
Skills:
• Demonstrate excellent interpersonal skills, be attentive to the client
• Ability to work in a team
• Be proactive, organized, and rigorous
• Fluent in English and French, a third language is a plus
• Knowledge of the Opera software is a plus
Main Missions
- The night receptionist is responsible for welcoming guests and responding to their requests: check in (arrival), check out (departure), billing, eviction, information, special requests, concierge service.
- Presents the different services of the hotel.
- Ensures the follow-up of client information to the various interested services.
- With the help of their hierarchical superiors, they handle and resolve any client problem or complaint in a courteous and professional manner.
- Ensures good communication with all departments of the hotel by making sure that they transmit/receive clear and precise information.
- Contributes to the good management of the “Market” located next to the reception and ensures that it is not lacking anything (fill it and ensure that it is clean at all times). They ensure to carry out the necessary inventories within the allotted time.
- Answers the phone using the appropriate Courtyard standards.
- Manages the mail and message system.
- Ensures good reception of packages and must transmit them to the appropriate people.
- Takes care of guests' luggage if necessary.
- Manages the deposit boxes intended for the client.
- Ensures the proper functioning of the parking system.
- May be required to intervene in case of technical problems.
- Programs the wake-up calls of the clients who request it.
- Must prepare the “Breakfast To Go” (takeaway breakfasts) in collaboration with the Kitchen for the early morning departures of the clients who request it and prepare the setup of the breakfast for our IBERIA crew.
- Must print the “Emergency Report” 2 times during their shift.
- Checks the revenues of all departments and ensures that all sales have been correctly recorded and coded.
- Performs the closure of all departments and prints all requested reports.
- Prepares and sends the “daily pack” as well as the related reports.
- Checks that the invoices of the restaurant match on Opéra and Micros.
- Checks the credit card reports coming out of the software, with the TPE report.
- Rectifies all errors on invoices.
- Checks and reacts to the different types of reservations (ADP, Marriott Bonvoy etc).
- Uses the means of communication and answers client requests on the appropriate interface such as GXP (Empower), Chat, Mobil, Customer Care.
- Must change every month the “Exchange Currency Rate” (exchange rate) according to the rates.
- Communicates to their superior any anomaly.
- Participates in the achievement of the department’s objectives (upsell, enrollments, GSS…)
- Uses the IT system to the maximum of its functions, and knows the procedures of credit limit / paid out / invoicing.
- Enters all elements of the billing of the stay by checking their room number and their name.
- Proceeds to adjustments if necessary, providing the appropriate justifications.
- Is responsible for the preparation for the arrival of groups and individual pre-arrival.
- Must monitor the inventory of the rooms at all times
- Is responsible for their cash register.
- The handling of money is an important part of the job of anyone responsible for a cash fund. It is your obligation to become familiar with the procedures related to the management of a cash fund.
- Ensures the missions of SST (Rescuer, First Aid at Work) and SSIAP1 (fire safety and assistance to persons service) after training and validation of exams.
- May be required to replace a day receptionist on an exceptional basis.
- Is responsible for their work environment and ensures that at the end of each shift, everything is tidy and clean.
- Must have an excellent presentation, and be courteous towards clients and the teams of the different services of the establishment.
