Mission:

Attached to the Event Manager, the Apprentice Event Coordinator H/F is the operational and administrative support of the Event Manager as well as the Events Managers. He/She participates in the full satisfaction of clients during their events.

Main Responsibilities:

  • Is in charge of client "Meetings", in order to implement and manage the services as negotiated and sold by the sales team of the Sales Hub
  • Is the administrative support for the realization of events (electronic displays, keys to rooms…)
  • Ensures the setup of spaces and the good service of the performances, while knowing how to anticipate the requests and needs of the clients
  • Interprets the function sheets (BEO) to have the necessary information concerning the client, the event, the setup, the schedules, and the specific needs
  • Ensures that the products and services sold to event organizers are satisfactory or even exceed their expectations.
  • Is the key contact person of the client during his/her event, he/she receives their requests and transmits them to the most appropriate service
  • Manages the event in a pair and in a global way and ensures the good progress of it in accordance with the specifications transmitted by the Cluster, the Banquet Manager, and the client
  • Manages the "Last Minute" groups (J-8 requests) by elaborating the estimates, contracts, and proforma in the Delphi software while following the commercial policy
  • Ensures the signature of the contracts and the general conditions of sale as well as the guarantees of payment
  • Ensures that the budget is respected
  • Makes proposals, provides regular updates for the Event Manager, the Events Managers, and the Banquet Manager
  • Manages the unforeseen and the unexpected requests of a high-end business clientele
  • Communicates important information in time for the catering and accommodation teams to have time to carry out the missions entrusted to them

Qualifications:

Know-how & Know-being:

  • Master in International Commerce or Management in Hospitality-Restauration
  • Experience in event management / private event management
  • Experience in a large-scale establishment (more than 500 rooms) would be an asset
  • Fluency in French and English
  • Mastery of office tools, Opera would be an asset
  • Excellent communication skills, both orally and in writing
  • Developer leadership: positive orientation
