PositionSummary
The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all SPM employees across multiple properties. This role manages payroll tax compliance, PTO tracking, and payroll reporting while coordinating with the company’s PEO partner for benefits administration. The Payroll Coordinator reports to the Property Accounting Manager and works closely with HR and the corporate accounting team.
Key Responsibilities Payroll Processing- Process bi‑weekly or semi‑monthly payroll for all employees, including salaried, hourly, and commissioned staff across multiple properties.
- Verify timesheets, calculate hours, overtime, bonuses, and commissions for accurate payroll submission.
- Process payroll adjustments including retroactive pay, reimbursements, and deductions.
- Set up new hires in the payroll system and process terminations, ensuring final paychecks comply with state requirements.
- Ensure accurate and timely payroll tax filings at the federal, state, and local levels.
- Prepare and distribute W‑2s at year‑end and ensure compliance with all reporting deadlines.
- Maintain current knowledge of wage and hour laws, tax regulations, and payroll compliance requirements.
- Respond to tax notices and resolve payroll tax discrepancies as needed.
- Track and reconcile PTO accruals, sick leave, and other time‑off balances for all employees.
- Resolve timesheet discrepancies and coordinate with property managers on attendance issues.
- Maintain accurate records of employee leave in the payroll and HRIS systems.
- Serve as the primary point of contact with the company’s PEO partner for payroll‑related matters.
- Coordinate with the PEO on employee onboarding, benefits enrollment integration, and payroll system updates.
- Reconcile PEO invoices and reports to ensure accuracy of charges.
- Prepare payroll journal entries and reconcile payroll accounts with the general ledger.
- Generate payroll reports for management, including labor cost analysis by property.
- Maintain proper records, files, and documentation for all payroll transactions.
- All other duties and special projects as assigned.
- Associate’s or Bachelor’s degree in Accounting, Business, or a related field.
- 24 years of payroll processing experience required.
- Experience processing multi‑state payroll for 50+ employees.
- Experience with payroll software (ADP, Paychex, Paylocity, or similar) required.
- Familiarity with PEO platforms and workflows.
- Knowledge of federal, state, and local payroll tax regulations.
- Strong proficiency in Microsoft Excel.
- Excellent attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Strong communication skills for cross‑departmental coordination.
