Responsibilities:Event Planning, Logistics, and Vendor Coordination
- Manage internal event coordination across multiple teams, including advisors, business development, operations, and creative.
- Assist with end-to-end event logistics, including venue research, vendor negotiations, contracts, catering, materials production, and day-of execution.
- Maintain organized records of event plans, budgets, vendor contracts, and timelines.
- Coordinate with the creative team to produce event materials such as signage, presentations, handouts, and promotional assets.
- Occasionally support onsite execution, including setup, run-of-show management, and attendee support.
- Assist with scheduling and deployment of marketing campaigns tied to events, lead generation, and brand-building initiatives.
- Support campaign coordination by managing timelines, deliverables, and stakeholder updates.
- Track performance metrics across events, including attendance and engagement.
- Monitor event success and campaign results, providing insights for improvement.
- Develop and maintain detailed project documentation, including timelines, checklists, and status reports.
- Collaborate with internal teams to ensure communication alignment, timely approvals, and signoffs for event and marketing projects.
- Work proactively to identify risks, flag delays, and
** escalate decisions
** to keep projects on track.
- Proven ability to manage multiple projects and events simultaneously in a deadline-driven environment.
- Excellent written and verbal communication skills.
- Proficiency with project management tools and Microsoft Office (especially Word and PowerPoint).
- Ability to work onsite at events, including occasional evenings or weekends as needed.
