What You Will Do –

Key Responsibilities:

• Support in the preparation and maintenance of the capex budget, as well as the monthly budget and fleet projections.
• Coordinate weekly follow-up meetings with the fleet management company.
• Coordinate vehicle and trailer registration renewals.
• Upload all records in the individual file of each vehicle and trailer.
• Update renewal dates in the fleet management database.
• Update costs and sticker numbers in the fleet database.
• Process monthly toll replenishment requests through PRS.
• Manage all toll, parking, and traffic violations.
• Support in the coding and reconciliation of toll invoices.
• Download and code invoices from the fleet management company (leases and services), including sending fuel reports for accounting adjustments.
• Request eligible subrogation claims to the Risk area.
• Request checks for balances in favor to the fleet management company.
• Conduct or support driver inductions.
• Request and manage COI (insurance certificates) forms.
• Request COI for fleet providers and DOT.
• Organize and distribute new insurance cards to field personnel and load them into the corresponding systems.
• Support in driver file audits.
• Ensure that all vehicles, trailers, and equipment are reporting correctly.
• Send GPS devices, toll transponders, and stickers to field personnel.
• Send petty cash backups to accounting.
• Maintain propane receipt records.
• Support in the management of mobile inspection invoices.
• Request payments for equipment repairs.
• Provide monthly mileage and vehicle reports to the Risk area.
• Present insurance assignments to top management when appropriate.
• Add or remove assets in fleet management systems.
• Update driver, vehicle, and account information in the system.
• Support in driver approvals.
• Review, negotiate, and approve or reject repair and transportation costs.
• Send monthly depreciation reports.
• Process annual compliance reports (FCC).
• Generate reports and analyses for management.
• Train and support other fleet administrators as indicated by management.
• Conduct quarterly audits of vehicles, trailers, and driver files.
• Coordinate the delivery of new assets to drivers and field offices.
• Maintain the inventory database.
• Generate QR codes for assets.
• Perform other assigned tasks and projects.

What You Will Need – Qualifications And Requirements:

• High school diploma (Bachelor’s degree)
• More than 2 years of experience in fleet management
• More than 2 years of experience using fleet management systems or software
• Current driver’s license issued in Honduras
