Job Responsibilities
Executive & Business Support
Manage and prioritize calendars, meetings, appointments, and reminders.
Coordinate internal and external communication — emails, calls, messages & follow-ups.
Prepare meeting agendas, minutes, presentations, briefs, and action trackers.
Track and follow through on key tasks and commitments to closure.
Coordinate with internal teams and external stakeholders on behalf of leadership.
Maintain organized and confidential digital & physical records.
Assist in organizing leadership reviews, board/partner interactions, customer visits & key meetings.
Represent the MD & CMO’s office with professionalism at all times.
Travel & Logistics
Plan and coordinate domestic & international travel.
Manage itineraries, bookings, visas, accommodation & transportation.
Ensure smooth execution around travel schedules.
Financial Administration
Handle expense report preparation and submission, manage petty cash, and process invoices and track budgets for executives.
Office Management:
Oversee and manage the executive office area, ensuring all necessary supplies and equipment are available and operational.
Documentation and Correspondence:
Draft, proofread, and edit external correspondence, reports, and other documents on behalf of the senior leadership.
Meeting Logistics:
Coordinate all necessary logistics for large meetings, including room setup, catering, and technology requirements (A/V, video conferencing).
