Description
This position is responsible for supporting the daily intakes of the facility. The role sometimes requires rapid multitasking and adaptation to a fast‑paced environment with frequent interruptions. The employee must be able to work effectively under stressful conditions.
Job Duties and Responsibilities- Administrative Support – maintain animal and admin files, keep track of daily office inventory, return voicemails promptly, cover lunch shifts as needed, schedule appointments, operate and maintain various office equipment, maintain efficient filing systems, use proper English and basic mathematics, and employ independent judgment in routine tasks.
- Processing Animal Movement – administer duties for intake animals and animal returns to owners, maintain records of animal locations, enter and complete medical information and behavior notes, manage missing pet calls, emails, walk‑throughs, and assist with documentation or follow‑ups on animals processed by animal control officers.
- Financial Management – manage intake of payments including cash, checks, and credit charges, and tally fee sheets.
- Customer Service – interface with the public daily via phone, email, and in person, inform about TNR program, owner surrender procedures, perform kitten assessments, schedule appointments, relay fee rates, and communicate with supervisors, co‑workers, county personnel, law enforcement, and the general public.
- Attendance – attend and remain at work regularly in accordance with absenteeism and tardiness policies; provide adequate notice for vacation and leave requests.
- Quality of Work – maintain high accuracy standards, take immediate remedial action when necessary, maintain high‑quality communication and interaction with internal and external entities, and complete other duties as required.
Tasks involve light physical effort, such as stooping, kneeling, crouching, and lifting, carrying, pushing, or pulling light objects. May involve extended periods at a keyboard or workstation.
Typical Qualifications- Minimum level of job‑related education:
High School diploma or equivalent. - Minimum amount of job‑related experience: 1 year administrative experience and/or 1 year shelter experience.
