ImpactThe Payroll & Benefits Accounting professional ensures accurate, compliant, and timely payroll and benefits processing in support of Department of Energy (DOE) and National Nuclear Security Administration (NNSA) contract deliverables. This role directly supports fiscal integrity, regulatory compliance, and employee benefit administration while contributing to year-end reporting accuracy and audit readiness.
Responsibilities and Duties- Prepare, document, and disburse payroll checks, payroll taxes, and benefit payments.
- Ensure proper setup and administration of employee deductions, garnishments, union dues, and fringe benefits.
- Support fiscal and calendar year-end closing processes, including balancing accounts and ensuring accurate W-2 and 1099 reporting.
- Analyze payroll and benefits data; reconcile accounts monthly and quarterly.
- Monitor documentation and compliance of employee benefit payments.
- Prepare payroll expenditure reports, including tax payments and benefit plan disbursements.
- Manage insurance policy applications and payments.
- Coordinate with the IRS and Department of Revenue to ensure proper tax registration and timely payments.
- Forecast and budget payroll and benefits expenses.
- Support DOE and NNSA reporting requirements related to payroll and benefits contract deliverables.
- Support internal and external audit requests.
- Administer annual benefits open enrollment.
- Identify, analyze, and implement controls to prevent wage over payments and improper payments.
- Provide benefits plan information to active and inactive employees.
- Perform other duties as assigned.
- Review payroll coding on initial timesheet data entry approved by managers.
- Complete pay-related calculations on timesheet revisions.
- Process weekly and monthly payrolls accurately and in compliance with company policies and federal/state regulations.
- Review and validate payroll data to ensure proper employee setup and timely wage disbursement.
- Calculate and enter ad-hoc pay-lanes.
- Analyze and process retro pay and retro benefit adjustments.
- Audit payroll control reports and resolve discrepancies in a timely manner.
- Set up and administer garnishments (child support, tax levies, wage assignments) per court orders and documentation.
- Accurately calculate and deduct garnishments within required timelines.
- Administer benefits premiums, retirement contributions, union fringe benefits and dues, and voluntary deductions.
- Ensure compliance with payroll tax requirements, state garnishment laws, and related legal guidelines.
- Assist management with data requests for audits.
- Respond to employee inquiries regarding payroll, garnishments, and deductions.
- Prepare and distribute payroll reports related to deductions, garnishments, and payroll costs.
- Three (3) years of experience with working knowledge in Payroll and Benefits Accounting.
- Five (5) years of experience with a Payroll Processing System (Required).
- Ability to communicate and function effectively with colleagues.
- Ability to work scheduled 40-hour work week (5/8s, 4/10s, or 9/80s) with overtime as required.
